Job description

Administrative Assistant

The Administrative Assistant provides administrative support to ReFrame Ministries by managing devotionals, processing donor receipts, and maintaining records. This role involves communication, handling financial documents, and organizing files to support the organization's mission and donor relations. This position is part-time, at 18 hours per week, and offers a hybrid work schedule.

Key Responsibilities:

Essential duties and responsibilities include the following:

  1. Provide general office administrative support, as directed.
  2. Maintain and update devotional distribution lists and subscriptions
  3. Review donation documentation and resolve declined gift issues.
  4. Answer and screen phone calls, providing information as applicable.
  5. Respond to requests for information and materials and ensure proper handling of correspondence, as directed.
  6. Input pertinent information into the denominational database system, as applicable.
  7. Organize and maintain all correspondence, files, and official organizational records.
  8. Routine copying, printing, and gathering of information.
  9. Prepare and send thank-you letters for special donations, including IRAs, estates, memorials, and welcome letters for new donors.
  10. Sort and distribute incoming mail, update Today requests, and address changes in the database.
  11. Manage the Classis calendar and spreadsheets
  12. Complete inventory of supplies and prepare Church Kits ready for outreach
  13. All other duties as assigned by the supervisor.
Skills, Knowledge & Expertise:

Qualifications include the following:

  1. Able to support the mission, vision, and values of the CRCNA.
  2. Demonstrated intermediate proficiency in commonly used computer applications.
  3. Proven ability to plan and organize tasks and responsibilities, including multitasking, setting priorities, and deadlines, etc.
  4. Proven ability to work independently and collaborate within a team environment.
  5. Basic verbal and written communication skills.
  6. Ability to establish and maintain cooperative working relationships with co-workers and external contacts.

Education and experience:

  1. A High School Diploma and prior office administrative experience are required.
