Hennepin County District Court invites qualified applicants for a Court Operations Associate position in the Probate/Mental Health Division, assigned to Mental Health.ย 

The Probate/Mental Health Division is made up of 5 Judicial Officers, 8 Judicial Staff, and 20 administrative staff members. Court Administration in the Probate/Mental Health Division manages approximately 5,000 Probate (trusts, estates, and guardianship/conservatorship) cases and approximately 1,500 new Civil Commitment case filings annually for Hennepin County.ย ย The Probate/Mental Health Division also manages Criminal Competency cases and calendars. This is a diverse, professional environment that promotes equity for all court staff and court users. ย Court Operations Associates work individually and in teams using independent judgment along with available resources to perform a variety of administrative assignments that require dedication to providing excellent customer service, strong attention to detail, and technological skills to match our fast-paced, high-volume, electronic environment.

This AFSCME-represented position is classified as a Court Operations Associate.ย  The Probate/Mental Health Division is located in the court tower of the Hennepin County Government Center (4th floor, C-400) in downtown Minneapolis at 300 South Sixth Street.ย  Typical hours for this position are 8:00 a.m. - 4:30 p.m., Monday-Friday, with some flexibility based on business needs.ย  This position is currently working primarily onsite with occasional remote work on a rotation with the team,ย depending on business needs. A reliable internet connection will be required if working remotely.

  • Accurately complete administrative work by performing high level case processing and data entry work for mental health cases utilizing court technology systems to assure equal access for the fair and timely resolution of cases and controversiesย 
  • Manage and maintain complex calendars, serving as the primary point of contact for scheduling hearings and adapting to last-minute changes to ensure efficient operations
  • Provide excellent customer service by assisting and communicating with court users in a professional, courteous, and respectful manner to ensure the customer's needs are effectively met at the front counter, over the phone, in court hearings, or through electronic means
  • Coordinate, communicate, and collaborate on work with team members to ensure efficient and accurate case processingย 
  • Review and process all filings for timeliness, statutory compliance, and proper document security as required by local and court-wide policies and procedures

Minimum Education and Experience:

  • High school diploma or equivalent, and one (1) year of relevant job experience OR equivalent amount of post-high school education and experience totaling one year.ย

  • Ability to learn, apply, and explain instructions, policies, statutes, rules, procedures, and systems to court partners and the general publicย 
  • Proficient with electronic document applications, such as Microsoft Office Suite, Google Docs, or Adobe Acrobat, with the ability to learn other job-related softwareย 
  • Ability to manage and coordinate complex calendars, including scheduling, prioritizing, and adjusting appointments and/or hearings
  • Ability to communicate effectively verbally and in writing with attorneys, court staff, judicial officers, and the general publicย 
  • Ability to comply with data privacy laws and maintain confidential informationย 
  • Ability to professionally exhibit cultural sensitivity, patience, and understanding in the course of work duties

Preferred Qualifications:

  • Knowledge and working experience with eFile and Serve (EFS) and Microsoft Office applicationsย 

  • Experience preparing, drafting, editing, and proofing court orders, forms, correspondence, and documents for electronic submission

  • Detail-oriented and analyticalย 

  • Strong organizational skillsย 

  • Experience providing exceptional customer service in a high volume, fast-paced environment

  • Experience working closely with attorneys, judicial officers, and other individuals in professional roles

SALARY:

The expected starting salary for external candidates is at least $23.50 per hour and may be higher depending on qualifications. Pay will be determined in compliance with the AFSCME contract.

Starting salary range for candidates is $23.50 - $28.45 per hour ($49,068 - $59,403.60 annually). The full salary range for this position is $21.45 - $35.44 per hour ($44,787.60 - $73,998.72 annually). This position is non-exempt under the Fair Labor Standards Act and is eligible forย State of Minnesota employee benefits.
