Position Summary
The Medical Education Program Coordinator supports curricular elements associated with learning objectives and related competencies in pre-clerkship course curriculum. This position functions under the general direction of the Foundational Sciences Manager.
Duties and Responsibilities
Foundational Science Course Coordination and Delivery
  • Work with college leadership and faculty to implement, evaluate, and manage all academic and administrative elements of the foundational science courses to ensure fulfillment of learning objectives.
  • Ensure consistent standards and objectives are met and assist students with completion of requirements associated with foundational science courses.
  • Manage auditorium, collaboration space, and small group room scheduling and requests for the college.
  • Organize medical education instructional activities and materials for pre-clerkship courses.
  • Coordinate and support instructional technologies utilized as part of instructional activities.
  • Prepare course materials as directed by faculty and course directors, e.g., handouts.
  • Work with Simulation staff and other University programs to support simulation and interprofessional education.
  • Serve as a resource to faculty and students to interpret educational policies and procedures of the College.
  • Collaborate to ensure effective delivery of the curriculum, providing cross coverage as needed.
  • Collaborate with the Student Affairs team to coordinate schedules and activities.
  • Collaborate with course directors and subject matter experts to implement content for courses and learning modules.

Curriculum Administration and Program Improvement
  • Develop and maintain course materials on online learning management system, e.g. Canvas.
  • Coordinate tracking processes for all faculty providing educational assistance to ensure accurate and complete data is available for payment.
  • Gather information, analyze operational practices/workflow, and offer recommendations to create new systems or revise established procedures.
  • Coordinate curricula and student activities related to faculty and student development for improvement of curriculum delivery. Offer recommendations to faculty and leadership on program design and delivery.
  • Attend regular curricular meetings, faculty and/or staff meetings, and other meetings as assigned. Develop and maintain course materials on online learning management system, e.g. Canvas.
  • Coordinate tracking processes for all faculty providing educational assistance to ensure accurate and complete data is available for payment.
  • Gather information, analyze operational practices/workflow, and offer recommendations to create new systems or revise established procedures.

Student/Academic Support
  • Serve as NBME chief proctor, as needed, and ensure that exam administrations adhere to college policy and NBME standards.
  • Provide guidance and interpretation related to compliance activity in the pre-clerkship learning environment.
  • Compile grade information and collaborate with course directors and Director of Educational Assessment for final grade release to students.
  • In collaboration with the Director of Educational Assessment, collect data and prepare documents/reports requiring compilation of information from multiple sources; analyze and offer recommendations based on review of this data. Data may include academic facility and technology utilization, teaching time, and accreditation documents.
  • Represent foundational sciences at Foundational Sciences Subcommittee meetings; provide information, offer recommendations, and advance the interests of the program.

Other
  • Maintain professional development and stay current on relevant trainings.
  • Assist with the planning and implementation of annual retreats and other major events.
  • Establish and maintain effective working relationships; work cooperatively and collegially with others in a manner consistent with a workplace of dignity and respect; support and engage in equal employment opportunity principles, rules, and regulations.

Qualifications
Minimum Qualifications
  1. High school diploma or equivalent.
  2. Any one or combination totaling four (4) years (48 months), from the categories below:
    1. College coursework in medical education, education, communications, public relations, or a closely related field as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
      • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
    2. Progressively more responsible clerical or secretarial experience, including a background in electronic word processing and database management systems.
  3. Work experience totaling one (1) year (12 months) comparable to that gained at the Medical Education Program Specialist level or similar experience within a medical education program.

Please Note: Completion of the Training Administrators of Graduate Medical Education Programs Certification (TAGME) from the National Board for Certification of Training Administrators qualifies applicants for each level of this series.
Preferred Qualifications
  • Professional work experience in a university setting
  • Experience working with curriculum and/or faculty, preferably in a professional school
  • Experience working with Canvas, One45 medical education system software, or a comparable program.

Knowledge, Skills and Abilities:
  • Ability to communicate effectively.
  • Ability to work independently and exercise judgment in order to be able to analyze and investigate a variety of questions or problems.
  • Ability to work collaboratively and in a high-paced environment.
  • Judgment and discretion, especially in the handling of confidential and/or sensitive issues and information.
  • Ability to effectively use a variety of software programs and systems, including data entry, retrieval and report generation.
  • Self-motivated passion for growing and adapting to change.
  • Ability to manage multiple projects and deadlines.
  • Ability to analyze and develop guidelines, procedures and systems.
  • High attention to detail with excellent organizational skills.
  • Knowledge of Liaison Committee on Medical Education (LCME) accreditation standards.
  • Knowledge of student privacy regulations (FERPA, etc.).
Appointment Information
This is a 100% full-time Civil Service 4770 - Medical Education Program Coordinator position, appointed on a 12-month basis. The expected start date is as soon as possible after the close date. The budgeted salary range for this position is $60,000-$65,000. Salary is competitive and commensurate with qualifications and experience, while also considering internal equity.
This position is eligible for sponsorship for work authorization, except for sponsorship of a new H1B petition that would incur the $100,000 fee.
