Job description

Position Summary

The Part-Time Courier & Facilities Assistant supports Texas Republic Bank's philosophy of "Banking like it oughta be!" by maintaining a clean, safe, and professional environment across all bank locations. This position is responsible for courier services, general facility maintenance, housekeeping, and assisting the Chief Operations Officer, Deposit Operations Manager, and department managers/supervisors with day-to-day operational needs.

Essential Duties and Responsibilities

The essential duties and responsibilities include, but are not limited to, the following:

  • Work with the Deposit Operations Manager to determine schedule, add to calendar, and review weekly, at minimum. Communicate any changes to your schedule immediately to your manager.
  • Assist with ordering, purchasing, picking up, and delivering supplies, equipment, and other operational materials for Bank managers and supervisors. Exercise sound judgment in managing costs by adhering to established purchasing limits, obtaining required approvals for expenditures exceeding authorized thresholds, and ensuring all purchases are properly documented and reconciled.
  • Maintain inventory records and support cost-effective purchasing by minimizing waste, preventing overstocking, and promoting efficient use of Bank resources.
  • Perform courier services between bank locations, storage facilities, vendors, and other designated destinations while ensuring the secure and timely transport of documents, supplies, equipment, and other bank materials.
  • Assist with the transportation, organization, storage, and destruction of bank records in accordance with established regulations and procedures.
  • Organize and maintain the cleanliness and security of storage units/areas, supply closets, and the Bank's promotional "swag" closet.
  • Maintain accurate inventory of Bank documents, Bank-owned supplies, promotional items ("swag"), holiday decorations, event materials, furniture, and equipment stored in designated storage areas. Conduct periodic physical inventory counts for audit.
  • Ensure all inventory is properly labeled, categorized, and stored to promote efficient retrieval and accountability. Include destruction date for Bank documents per TRB Retention Schedule.
  • Track the distribution of promotional items and event materials to branches and departments, maintaining accurate records of inventory movement.
  • Assist in identifying records eligible for secure destruction in accordance with the Bank's Records Retention Schedule and coordinate shredding services with the Bank's approved vendor. Additionally, identify obsolete, damaged, or excess inventory and coordinate its disposal or replacement in accordance with Bank policies and procedures.
  • Perform minor building maintenance and repairs, including replacing light bulbs, unclogging drains, changing ceiling tiles, and completing other routine maintenance tasks within the scope of the position.
  • Perform routine housekeeping services throughout all assigned bank facilities, including bank entrances, offices, lobbies, conference rooms, community rooms, kitchens, breakrooms, restrooms, and other common areas.
  • The Bank contracts a cleaning service, but it is your responsibility to ensure they thoroughly vacuum, sweep, mop, dust, clean furniture, empty trash receptacles, sanitize shared workspaces, kitchen areas, appliances, countertops, and restrooms to maintain a clean and welcoming environment.
  • Coordinate quarterly cleaning services to dust blinds and baseboards, clean interior glass, and schedule exterior window cleaning with the Bank's approved vendor.
  • Coordinate with approved vendors for routine maintenance and repairs, including HVAC, electrical, plumbing, fire inspections, landscaping, and other facility-related services.
  • Serve as the on-site contact for the building facilities management group, maintenance contractors, and vendors during scheduled service appointments. Add to the calendar and inform branch employees.
  • Monitor heating and air conditioning systems and report any operational issues to the building facilities management group.
  • Maintain an adequate inventory of cleaning supplies, maintenance materials, and other facility-related items, ordering when replenishment is needed.
  • Assist with office moves, furniture setup, equipment relocation, community room and meeting room preparation, and special projects.
  • Deliver, set up, and store holiday decorations and event supplies, ensuring all items are properly labeled, organized, and maintained in the Bank's designated storage facility.
  • Monitor weather conditions and inspect sidewalks, entrances, parking lots, and other pedestrian walkways leading to the bank entrance to help ensure a safe environment for customers and employees.
  • During inclement weather, apply ice melt, sand, or other approved materials to sidewalks, ramps, entrances, and other high-traffic areas to help prevent slips and falls.
  • Perform periodic inspections of building exteriors and grounds to ensure they remain clean, safe, and well-maintained throughout the year. Report hazardous conditions or maintenance concerns that require additional attention to the building facilities management group promptly.
  • Assist in maintaining the overall appearance of Bank properties by removing litter, leaves, branches, and other debris from landscaped areas, sidewalks, parking lots, and entrances. This will also help to reduce slip and trip hazards
  • Follow all bank safety, security, confidentiality, and operational procedures.
  • Perform other duties and special projects as assigned.
