Job description

We are looking for a freelance Office Coordinator for a top company at their Coppell, TX offices!
  • Pay rate: $25.00/hr
  • Dates: 7/31/26-8/14/26
Responsibilities:
Office Operations:
  • Reception & Front Desk Management: Oversee the reception area to ensure a professional and welcoming environment for all visitors, clients, and employees. Handle phone calls, mail distribution, and incoming deliveries.
  • Office Supply Management: Monitor inventory levels of office supplies and equipment; reorder and restock items as needed to ensure smooth daily operations. Maintain relationships with vendors and suppliers to secure cost-effective procurement.
  • Workspace Organization: Ensure communal areas such as meeting rooms, break rooms, and kitchen areas are tidy, stocked, and properly maintained. Implement systems for workspace reservations, desk sharing, or hot-desking where applicable.
  • Calendar Coordination: Schedule and manage internal meetings, conference room bookings, and recurring office events to avoid conflicts and maximize space utilization.
  • IT & Equipment Oversight: Liaise with the IT team or external vendors for the maintenance and troubleshooting of office equipment (printers, phones, projectors, etc.) and ensure that all staff have the tools they need to work efficiently.
  • Cleaning & Maintenance: Coordinate with janitorial services and building management to ensure cleanliness, safety, and functionality of the physical office space. Conduct periodic checks for facility needs or repairs.
  • Mail & Package Handling: Receive, sort, and distribute mail and packages. Ensure outgoing mail and courier services are handled promptly and securely.
  • Record Keeping: Maintain and update office records, seating charts, and directories. Ensure confidential information is securely stored and easily accessible as needed.
  • Visitor & Access Management: Maintain security procedures by tracking visitor access and managing keycards or office entry systems.
  • Daily Communication Hub: Act as a central point of contact for disseminating important office-wide announcements, policy updates, or logistical changes.
Required Qualifications:
  • Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant
  • Strong knowledge of office management responsibilities, systems, and procedures
  • Excellent time management skills and ability to multitask and prioritize work
  • Attention to detail and problem-solving skills
  • Strong organizational and planning skills
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Familiarity with office equipment (e.g., printers, fax machines)
  • High School degree; additional qualification as an administrative assistant or secretary will be a plus
  • Bachelors degree in Business Administration or related field preferred
