Position Summary: The Office Services Coordinator will be responsible for the administrative work in the Copy Center and all related tasks. Ensuring proper prioritization and efficient workflow, monitoring supply inventory levels, and track invoicing for the department both for outside vendors and interoffice.  

Responsibilities:

1.      Sort, Monitor and process Copy Center Invoices using the Stampli system.

2.      Track and Process Internal Copy Center Billing for projects.

3.      Track and Maintain supply stock levels for the Copy Center supply areas, create and submit orders, assist in shopping and investigating possible savings opportunities.

4.      Assist Supervisor with Hiring process and oversee training of new hires.

5.      Main POC for general inquiries and requests of the Copy Center team and provide a high quality and professional customer experience. 

6.      Work flow prioritization and tracking.

7.      Identifying and Implementing Opportunities for process improvement.

8.      Identifying opportunites for cost savings across office and banners by bringing printing projects in house.

9.      Manage Vendor relationships and overseeing Copy center support.

10.   Overall Support and Training for entire Copy Center Team.

11.   Must be able to perform the essential functions of this position with or without reasonable accommodation

 

Working Relationships: The Office Services Coordinator will have contact with every division and banner of Cumberland Farms, while working to provide them with various Printing and Shipping projects. 


Minimum Education: HS Diploma or GED          

Minimum Experience: 1-3 Years in a copy center

Preferred Experience: 3-5 Years in a copy center lead role

Licenses/Certifications: N/A

Soft Skills: 

  • Bilingual (Spanish) a plus
  • Excellent oral and written communication skills
  • Ability to multitask deadline driven workload in a fast-paced environment
  • Strong Presentation Skills
  • Ability to foster team work and build collaborative relationships
  • Strong interpersonal skills
  • Proficient in Microsoft Office Suite

Other Requirements: 

Travel: No travel required

Hours & Conditions: Typically, Monday – Friday, 8+ hour days in office, mail room, and distribution center settings (approx. 7am-3:30pm, to be discussed).  Exposure to noise, dirt, dust, ink, temperature fluctuations

Physical Requirements: Standing and walking 8+ hours per day, frequent bending, twisting and stooping, ability to lift/carry up to 30lbs, ability to complete repetitive tasks, load and push/pull carts throughout the facility.
