We're looking for an organized, detail-driven Operations Coordinator to keep our day-to-day running smoothly: from scheduling installs and service calls, to supporting projects, managing our DaisyCare program administration, and keeping equipment moving in and out the door.
About the Role
The Operations Coordinator is the connective tissue of our daily operations. You'll be the person who keeps schedules on track, projects organized, DaisyCare members supported, and equipment flowing correctly through shipping and receiving. This is a great fit for someone who thrives on structure, enjoys juggling multiple moving parts, and takes pride in things running without dropped balls.
What You'll Do
Scheduling
• Coordinate and maintain the calendar for installs, service appointments, and technician availability
• Communicate with clients to confirm appointments, reschedule as needed, and resolve scheduling conflicts
• Keep field teams informed of daily/weekly schedules and any last-minute changes
Project Administration
• Support project managers with documentation, timelines, and status tracking for active installs
• Maintain accurate project files, job notes, and client records in company systems
• Follow up on open items, outstanding approvals, and task deadlines to keep projects moving
Daisy Care Administration
• Manage administrative tasks related to the Daisy Care membership/service plan program
• Process enrollments, renewals, and cancellations
• Respond to member questions and route service requests to the right team
• Track and report on Daisy Care program metrics as needed
Shipping & Receiving
• Receive, inspect, and log incoming equipment and inventory
• Prepare and coordinate outgoing shipments for installs and returns
• Maintain inventory accuracy and flag discrepancies or damaged goods
• Organize the stockroom/warehouse area for easy access and accountability
General Operations Support
• Answer phones, emails, and general inquiries, directing them appropriately
• Assist with vendor and supplier coordination as needed
• Support office organization, ordering supplies, and other administrative tasks
• Take on ad hoc projects as priorities shift
What We're Looking For
• 3-5+ years of experience in operations, administrative coordination, or a similar role
• Strong organizational skills with the ability to manage multiple priorities at once
• Clear, professional communication skills - written and verbal
• Comfortable with basic inventory/shipping processes (or willing to learn quickly)
• Proficient with common office/scheduling software (e.g., Google Workspace, Microsoft Office); CRM or field service software experience a plus
• Detail-oriented with strong follow-through - things don't fall through the cracks on your watch
• A team player who's also comfortable working independently
• Physical ability to lift/move equipment boxes as needed for shipping and receiving tasks
Nice to Have
• 3-5 Experience in home automation, low-voltage, security, or a related trade/service industry
• Familiarity with membership or service-plan program administration
• Experience supporting field service or installation teams
