Project Controls Specialist

KEITH is looking for a detail-oriented and financially driven Project Controls Specialist to join our team in Pompano Beach, FL. We are looking for positive individuals to fit our energetic culture. We are a well-established multidisciplinary company that offers civil engineering, land surveying, subsurface utility engineering, planning, landscape architecture, and construction management services. The firm was founded on the principle of achieving success by combining the latest technology with client-oriented business practices, and a strong group of talented professionals.

What you'll do:

As a Project Controls Specialist, you will play a key role in ensuring the successful delivery of projects by supporting project financial health and operational efficiency. This role blends project accounting, scheduling, and documentation management, with a strong emphasis on accounting.

Project Accounting:
  • Manage project billing, accounts receivable, and consultant invoicing, ensuring accuracy and timeliness.
  • Collaborate with Project Managers to review project costs, track budget performance, and finalize monthly invoices.
  • Assist in the preparation and submission of agency-specific billing, including FDOTand other public sector clients.
  • Support the development of project proposals, including fee estimates and budget allocations.
  • Prepare and analyze cost reports, identify variances, and recommend corrective actions.
  • Assist in the preparation of audit packagesand compliance documentation for public agency projects.
  • Maintain and update project financial records in Deltek Vantagepointand internal systems, ensuring data integrity.
  • Monitor and track subconsultant agreements, budgets, and invoicing compliance.
Project Scheduling:
  • Assist in developing and maintaining detailed project schedules.
  • Coordinate with project teams to align financial milestones with project timelines.
  • Identify and mitigate scheduling risks that may impact budget or billing cycles.
Project Documentation:
  • Maintain comprehensive and organized project documentation, including contracts, change orders, and financial correspondence.
  • Support project closeout processes, including final billing, reconciliation, and documentation archiving.
What Youโ€™ll Need:
  • Bachelorโ€™s degree in Accounting, Finance, Business Administration, or a related field.
  • 2โ€“5 years of experience in project accounting, financial controls, or project administrationwithin the A/E/C industry.
  • Familiarity with Deltek Vantagepointor similar project accounting software.
  • Experience with FDOTorother public agency billing processes is a plus.
  • Strong analytical, organizational, and communication skills.
  • Ability to manage multiple priorities and work both independently and collaboratively.
