Job description

 Lead Complex Projects from Start to Finish! We're Looking for a Project Manager!
Gainesville, GA | In Office (20% Travel) | Full-Time

About the Role

We're looking for an organized, proactive Project Manager to oversee pneumatic tube system projects from internal handoff through installation, commissioning, customer acceptance, and financial closeout. In this role, you'll serve as the primary point of contact for customers while coordinating cross-functional teams to ensure projects are delivered safely, on schedule, within budget, and to the highest quality standards.

What You'll Own:

Project Planning & Execution
  • Lead projects from internal handoff through installation, commissioning, customer acceptance, and closeout
  • Review project scope, contracts, drawings, schedules, and customer expectations
  • Develop and maintain project plans, budgets, schedules, and milestone timelines
  • Coordinate labor, materials, subcontractors, equipment, and technical resources
  • Adjust project plans as conditions change while maintaining customer commitments and contractual requirements
Financial & Budget Management
  • Manage projects to approved budgets and profitability goals
  • Monitor labor, subcontractor, material, travel, and equipment costs
  • Maintain accurate cost forecasts and estimates to complete
  • Identify financial risks and communicate concerns proactively
  • Support timely billing, invoicing milestones, and project financial closeout
Scheduling & Resource Coordination
  • Develop and maintain project schedules aligned with contractual milestones
  • Coordinate internal teams, subcontractors, customers, and other trades
  • Confirm site readiness prior to mobilization and commissioning
  • Manage material deliveries and resource availability
  • Identify schedule risks and implement recovery plans when needed
Customer & Stakeholder Communication
  • Serve as the primary point of contact for assigned customers
  • Communicate project progress, upcoming milestones, risks, and required actions
  • Lead project meetings and document key decisions and action items
  • Coordinate closely with Engineering, Sales, Finance, Warehouse, Service, and field teams
  • Escalate significant project or customer issues as appropriate
Scope, Risk & Quality Management
  • Manage project scope and ensure contractual requirements are maintained
  • Identify, document, and coordinate change orders
  • Proactively identify project risks and implement mitigation strategies
  • Coordinate inspections, quality checks, commissioning, and corrective actions
  • Ensure punch-list items and project deficiencies are resolved
Documentation & Project Closeout
  • Maintain accurate project records, schedules, budgets, correspondence, and forecasts
  • Track project documentation using company systems and project management tools
  • Coordinate customer training, acceptance, warranty documentation, and final closeout
  • Complete successful handoff from Project Management to Service
  • Conduct project closeout reviews and document lessons learned

What We're Looking For

Required:

  • Experience managing construction, installation, engineering, or technical service projects
  • Strong knowledge of project planning, scheduling, budgeting, cost control, and risk management
  • Ability to manage multiple projects and competing priorities
  • Excellent written, verbal, organizational, and problem-solving skills
  • Experience coordinating customers, subcontractors, field personnel, and internal teams
  • Ability to read and interpret contracts, project specifications, drawings, and scopes of work
  • Proficiency with Microsoft Office and project management software
  • Ability to travel to customer and project sites as needed

Preferred:

  • Bachelor's degree in Construction Management, Engineering, Business, or a related field
  • PMP, CAPM, or other project management certification
  • Experience with healthcare, industrial, construction, or material-handling projects
  • Experience with Trimble Spectrum, Microsoft Planner, Power BI, or similar business systems
  • Experience managing subcontractors and change-order processes
