What is contractual government event planning?

Contractual government event planning involves organizing and coordinating events for government agencies or departments on a contract basis, rather than as a full-time government employee. These contractors are responsible for managing logistics, securing venues, coordinating with vendors, ensuring compliance with government regulations, and overseeing budgets for official meetings, conferences, or public events. The work often requires familiarity with government procurement processes, confidentiality standards, and specialized reporting. Contractual planners may work for event management firms or as independent consultants, providing their expertise on a project-by-project basis.

What are the key skills and qualifications needed to thrive as a contractual government event planner?

To excel as a Contractual Government Event Planner, you need expertise in project management, budgeting, and logistics coordination, often supported by a degree in event management or a related field. Familiarity with government procurement processes, event management software, and compliance regulations is typically required. Exceptional organizational skills, attention to detail, and the ability to communicate effectively with diverse stakeholders are crucial soft skills. These competencies ensure seamless event execution, adherence to government standards, and successful collaboration across departments.

What are some common challenges faced by contractual government event planners, and how can they be managed?

Contractual government event planners often navigate strict compliance requirements, tight budgets, and complex approval processes. Challenges can include adapting to evolving regulations, coordinating with multiple stakeholders across different agencies, and managing last-minute changes. Proactively communicating with all involved parties, maintaining detailed documentation, and staying updated on government procurement policies can help manage these challenges effectively. Building strong relationships with vendors familiar with government protocols also contributes to smoother event execution.

Job description

CRG is seeking a Public Affairs Specialist to support Government public affairs, strategic communications, stakeholder engagement, and industry outreach activities for the DCMA Blue List Program. Public Affairs Specialists provide advisory, communications, and administrative support to Government public affairs personnel and do not perform inherently governmental functions, serve as an official spokesperson, or release official Government communications without Government approval.

This role covers strategic messaging, multimedia production, and outreach event support, producing everything from digital content and social media materials to briefing packages and technical articles in support of Government public affairs objectives.

The ideal candidate will have experience in strategic communications, industry engagement, and multimedia content development, ideally within a government, defense, or regulated environment.

Responsibilities: Strategic Communications & Content
  • Assist the Government in implementing strategic communications, public messaging, outreach materials, industry engagement initiatives, digital communications, and other communication products supporting the Blue List Program
  • Develop multimedia products, including professional photography, videography, graphic design, presentations, digital content, technical articles, program publications, correspondence, and social media content, in support of Government public affairs objectives
  • Prepare briefing materials, talking points, speeches, presentation materials, fact sheets, newsletters, and other communications products to support Government leadership during internal and external engagements, as directed by the Government
Event & Outreach Coordination
  • Assist the Government in planning, coordinating, and supporting industry days, conferences, workshops, demonstrations, training events, public engagements, and other outreach activities, including event planning, scheduling, logistics coordination, promotional materials, event registration, and post-event communications
Metrics & Continuous Improvement
  • Monitor communication metrics, public engagement activities, and outreach initiatives, and provide recommendations to improve the effectiveness of Government communication strategies and stakeholder engagement efforts
Required Qualifications:
  • Bachelor's degree in Public Affairs, Communications, Journalism, Marketing, Public Relations, or a related field, or a minimum of five (5) years of verifiable experience supporting public affairs, strategic communications, multimedia production, outreach, or related activities
  • Demonstrated experience planning, coordinating, and supporting conferences, industry days, workshops, trade shows, or similar outreach events, including event scheduling, logistics, promotion, and coordination
  • Demonstrated experience developing written communications, multimedia products, digital content, presentations, and communication materials using industry-standard software applications
  • Must be a U.S. citizen with a favorably adjudicated Tier 3 (ADP/IT-II) investigation on file in DISS at the time of offer
Benefits

Full-time employees are eligible for 401(k) and Roth retirement plans, Medical, Dental, and Vision Insurance (for employees and families), Supplemental Insurance, 11 Federal Holidays, and at least three weeks of Paid Time Off (PTO), including sick and personal leave.

CRG is an equal opportunity employer. We make employment decisions based on merit, qualifications, and business need. All qualified applicants receive consideration for employment without regard to race, color, religion, sex, national origin, age, disability, status as a protected veteran, or any other state or federally protected category.
