Associate, Chief of Staff Job Description: HITT is seeking a highly organized, detail-oriented Associate to support the Enterprise Chief of Staff and strengthen the effectiveness of the Executive Office. This role requires someone who operates with a strong respect for detail and a commitment to quality, ensuring that work is prepared, coordinated, and delivered with consistency and precision. Operating under the direction of the Enterprise Chief of Staff and in close partnership with the Executive Business Partner (EBP), this individual supports the flow of work across the Executive Officeโ€”ensuring materials, governance processes, and executive priorities are organized, aligned, and executed to a high standard. This role contributes directly to the preparation and quality of key outputs such as agendas, presentations, decisions, and follow-through, while also owning select workflows and coordination mechanisms across the enterprise. The Associate Chief of Staff plays a critical role in maintaining structure, supporting execution, and reinforcing standards across teams. This position requires strong attention to detail, the ability to manage multiple workstreams, and a proactive approach to connecting work across departments to ensure alignment and progress. Responsibilities Meeting Coordination Own coordination and execution of select enterprise governance committees, including agenda development, material preparation, minutes, and action item tracking Ensure all materials are complete, aligned, and prepared to executive standards prior to meetings Capture decisions and ensure consistent follow-through and closure of action items Governance Tracking Maintain and manage tracking for CEO and board-level approvals Ensure submissions are accurate, complete, vetted, and aligned Provide visibility into status, timelines, and outstanding decisions Planning & Workflow Management Own and maintain the department planning calendar, ensuring alignment across priorities, key meetings, and deliverables Coordinate inputs and timelines across teams to support enterprise planning and execution Reinforce structure, organization, and consistency in day-to-day workflows Presentation Development Support the development, formatting, and refinement of enterprise and executive-level presentations and materials Ensure outputs are clear, consistent, and meet executive excellence standards Utilize Adobe InDesign and related tools to produce polished, high-touch deliverables Enterprise Coordination Act as a connector across departments, ensuring stakeholders are informed, and prepared Identify gaps, dependencies, or misalignment and proactively work to resolve them Support the flow of information to ensure work progresses efficiently across teams Special Projects & Execution Support Support and execute special projects as assigned by EBP or CEO Conduct research, develop recommendations, and contribute to problem-solving Proactively step in to provide additional capacity on priority initiatives to ensure progress and completion Qualifications 3โ€“6 years of professional experience in operations, project coordination, consulting, or a related field Experience supporting senior leaders or working within executive-level workflows preferred Strong organizational skills and attention to detail, with the ability to manage multiple priorities simultaneously Demonstrated ability to execute non-routine tasks, resolve issues independently, and escalate complex matters appropriately Excellent written and verbal communication skills, with the ability to prepare clear, concise materials Strong interpersonal skills and ability to build relationships across functions and levels Ability to connect information across teams and identify opportunities for alignment and efficiency Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word) Proficiency in Adobe InDesign required Experience with project management or work tracking tools (e.g., Asana) Experience in construction, real estate, or the built environment preferred In accordance with Virginia Senate Bill 215 (SB 215), the base salary range for this position is: $67,000.00 - $87,000.00 Compensation in other cities and states may vary.
