Position Summary:


We are seeking an Administrative Support Specialist to provide administrative, and operational activities required to maintain and execute contract requirements. This position is full-time, onsite for a 6-month contract duration, with potential for extension/renewal.ย 


Job Duties and Responsibilities:

  • Contract Records and File Management: Establish, organize, and maintain digital files for official contract documentation, ensuring strict version control and compliance with record-retention requirements.ย 
  • Report Tracking and Deliverables Management: Maintain trackers for all required contractual reports, returns, and deliverables. Work proactively with internal project teams and external stakeholders to collect, review, and log submittals before deadline dates.ย 
  • Meeting Facilitation and Administrative Planning: Plan, schedule, and coordinate highly visible meetings, including agenda preparation, logistics, and minute-taking. Lead administrative planning sessions to establish operational timelines for the contract support team.ย 
  • Document and Presentation Support: Draft, format, and review executive-level presentations, reports, and spreadsheets using MS Word, Excel, and PowerPoint to support Prime Contract reporting objectives.ย 
  • Cross-Department Coordination: Act as an administrative liaison to coordinate data collection and meeting requests among project managers, project controls, finance professionals, and senior directors.ย 

Requirements

Required Qualifications:

  • A bachelor's degree in a related field and a minimum of five (5) years of administrative, project management or operations management experience.
  • Capable of performing work in fast-paced environment, as demonstrated in past performance.
  • Possess a working knowledge of MS Office Suite including Word, PowerPoint and Excel.
  • Excellent communication skills (both oral and written).

Desired Qualifications:

  • DOE or other federal government experience is desired.
  • Possess tact and professional abilities to coordinate with all levels of staff to including project managers, project controls, finance professionals, directors, and senior directors.

Background Check and Screenings
