Course Operations Specialist

As demand grows, we’re expanding our financial operations and hiring our first Course Operations Specialist to help scale course setups and access code delivery.

Role Summary

The Course Operations Specialist owns the operational workflows that keep our course setup, access code distribution, and reseller coordination accurate and on time. This role ensures Salesforce course opportunities are set up correctly, partner-facing information is synchronized, and external bookstore and reseller partners receive the right access and instructions. You will work cross-functionally with Finance, Sales, Customer Success, and external partners to reduce friction, improve accuracy, and support smooth course fulfillment across terms. 


Key Responsibilities
  • Data & Account Integrity: Own day-to-day course setup in Salesforce, ensuring client profiles are accurate across complex, multi-tiered purchase and pricing structures.
  • Vendor & Partner Management: Act as the point of contact for university bookstores and third-party resellers, managing workflows and resolving fulfillment inquiries. 
  • Digital Inventory & Fulfillment: Set up and maintain access across multiple third-party reseller sites to ensure inventory availability and accurate distribution.
  • Change Management: Coordinate inventory and product changes when pricing or product updates occur, ensuring external partners transition to active codes and retiring obsolete assets. Anticipate and proactively communicate the changes to external partners ahead of seasonal semesters to prevent order friction. 
  • Process Optimization: Partner with internal stakeholders to maintain clear workflows, deadlines, and handoffs between Salesforce course setup and external fulfillment. Document and improve operational workflows to reduce manual errors as we scale, and support repeatable execution.

Required:
  • 3+ years of experience in Operations, Sales Operations, Fulfillment or similarly detail-oriented process work.
  • Strong attention to detail and comfort working in multi-step operational processes.
  • Excellent written and verbal communication skills.
  • Strong organizational skills.
  • Strong problem solving capabilities.

Desired:
  • Experience in EdTech, SaaS, or Higher Education operations is preferred.
  • Exposure to course operations, reseller fulfillment, access code management, or billing workflows.
  • 2+ years of hands-on CRM experience.
  • Familiarity with seasonal product cycles and partner-facing operational processes.
  • Experience supporting cross-functional work between departments.
  • Experience working directly with university bookstores or institutional programs (such as Inclusive or Equitable Access) is a major plus.

Compensation & Benefits
  • Base Salary: $80,000 – $85,000 (DOE).
