Operational Paralegal
USA Waste and Recycling
Position Summary:
USA Waste and Recycling and its affiliated family of companies are building out a small, high-impact legal team to support a growing, dynamic business. As our Operational Paralegal, you will be the central hub for contracts and key legal documents across a diverse group of entities, working closely with in-house attorneys, leadership, and operations in a fast-moving, family-led environment.
You will touch customer, municipal, and vendor agreements, help keep our corporate records organized, and support smooth closings and transactions. This is a great role for a seasoned corporate paralegal who enjoys ownership of process, variety in day-to-day work, and direct interaction with business partners.

Key Responsibilities
Contract Intake & First-Level Review
  • Serve as the primary intake gatekeeper for customer, municipal, and vendor agreements needing legal review, ensuring matters are routed and tracked appropriately.
  • Conduct first-pass review of standard commercial terms in contracts and flag issues for attorney review.
  • Maintain, update, and deploy standardized templates for complex, recurring transactions, particularly municipal contracts and bids.

Corporate Records & Transaction Support
  • Act as docket manager for entity organizational documents, maintaining corporate records, good standing certificates, and related filings.
  • Handle closing/post-closing/transaction housekeeping, including organizing and indexing closing sets and managing document retention in accordance with company policies.

Legal Team Coordination & Executive Support
  • Manage in-house attorneys' calendars, including scheduling and prioritizing meetings, calls, and internal/external appointments.
  • Track key legal deadlines and milestones (filings, contract dates, regulatory and board calendars) and ensure attorneys have the time and information needed to meet them.
  • Prepare attorneys for meetings by organizing agendas, gathering background documents, and circulating materials and follow-ups.
  • Act as a primary point of contact for internal teams and outside counsel on scheduling, status updates, and next steps; help maintain matter trackers and task lists for the legal team.

Documentation, Drafting & Administration
  • Draft, format, and revise documents and correspondence from attorney direction, including dictation/transcription when needed.
  • Ensure consistent document management practices, including naming conventions, filing, and version control across legal matters.

Qualifications
  • 3-5+ years as a corporate paralegal, ideally within a mid--to large-sized law firm or sophisticated in-house legal department.
  • Bachelor's degree required; paralegal certification preferred.
  • Strong proficiency with word processing, document management, and presentation software; comfortable working with deadlines and templates.
  • Exceptional attention to detail, organization, and follow-through; able to manage multiple matters and deadlines at once.
  • Clear, professional communication skills and a collaborative working style; comfortable interacting with attorneys, executives, and operations teams.
