Job description

Job Summary

We are seeking a detail-oriented and organized Contracts Coordinator to support contract administration, purchase order processing, and procurement operations within a fast-paced, collaborative environment. This role is responsible for coordinating contract documentation, maintaining accurate records, supporting procurement activities, and ensuring compliance with internal policies and procedures. The ideal candidate is proactive, highly organized, and able to manage multiple priorities while working effectively with cross-functional teams in a hybrid work setting.

Key Responsibilities

Contract Administration

  • Prepare, review, process, and maintain contracts, amendments, and related documentation.
  • Monitor contract milestones, renewals, expirations, and closeout activities.
  • Maintain accurate contract records and documentation within internal systems.

Purchase Order Management

  • Create, process, and track purchase orders in accordance with organizational policies.
  • Partner with procurement and finance teams to ensure accuracy, timely processing, and compliance.
  • Resolve purchase order and invoicing issues as needed.

Administrative Support

  • Maintain organized records for contracts, purchase orders, and supporting documentation.
  • Prepare reports, dashboards, and status updates for internal stakeholders.
  • Support departmental projects and process improvement initiatives.

Communication & Coordination

  • Serve as a point of contact for internal stakeholders and external vendors regarding contract and procurement activities.
  • Coordinate meetings, follow-up actions, and project-related communications.
  • Collaborate across departments to ensure timely completion of contract and purchasing activities.

Compliance

  • Ensure all contract and procurement activities comply with internal policies, standard operating procedures (SOPs), and applicable regulatory requirements.
  • Support audits and documentation requests as needed.

Qualifications

Education & Experience

  • Bachelor's degree preferred.
  • Two or more years of experience in contracts, procurement, purchasing, or administrative support.
  • Experience supporting regulated industries, healthcare, life sciences, biotechnology, pharmaceutical organizations, or contract research organizations (CROs) is preferred.

Skills & Competencies

  • Strong organizational skills and exceptional attention to detail.
  • Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.
  • Experience using contract management, procurement, or enterprise resource planning (ERP) systems is a plus.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities, work independently, and collaborate effectively with cross-functional teams.

Work Environment

  • Hybrid work schedule with the ability to work on-site approximately 40% of the time.
