Job description

Job Title: Data Entry Specialist
Job Description
The Data Entry Specialist supports accurate and timely supplier payments by resolving invoice discrepancies, managing vendor communications, and partnering closely with Accounts Payable and internal stakeholders. This role works extensively within an ERP system, with a preference for SAP, to research and reconcile purchase orders and invoices while maintaining thorough documentation and strong vendor relationships.
Responsibilities
  • Process and resolve invoice discrepancies within the Vendor Invoice Management (VIM) portal to ensure timely and accurate supplier payments.
  • Communicate directly with suppliers to resolve invoicing discrepancies and confirm that invoices contain correct purchase order and billing information.
  • Partner with Accounts Payable and internal stakeholders to review, reconcile, and close purchase orders in a timely manner.
  • Facilitate vendor communications and meetings to identify invoicing issues, implement corrective actions, and maintain effective vendor relationships.
  • Research and verify purchase order (PO) information and coordinate with suppliers to reissue invoices with accurate PO references for proper processing.
  • Investigate invoice and PO discrepancies and collaborate with relevant stakeholders to implement appropriate resolutions, including adding line items, creating new purchase orders, or coordinating alternative payment solutions with the Business Controller.
  • Maintain accurate documentation and records related to invoice resolution, vendor communications, and PO adjustments.
  • Perform additional duties and responsibilities as assigned by management to support the overall efficiency of the vendor management and accounts payable processes.

Essential Skills
  • Hands-on experience working in an ERP system; SAP experience is preferred.
  • Strong accounts payable and invoice processing skills, including experience with invoicing and invoice reconciliation.
  • Demonstrated ability to manage vendor relationships and vendor communications effectively.
  • Good problem-solving skills with the ability to investigate and resolve invoice and purchase order discrepancies.
  • Strong data entry skills with attention to detail and accuracy.
  • Ability to work within a Vendor Invoice Management (VIM) portal or similar invoicing platform.
  • Ability to collaborate with cross-functional stakeholders, including Accounts Payable and Business Controllers.

Additional Skills & Qualifications
  • High school diploma or equivalent.
  • Experience with SAP ERP is strongly preferred.
  • Optimal data entry skills, including speed and accuracy.
  • Strong organizational skills with the ability to manage multiple invoices, purchase orders, and vendor inquiries simultaneously.
  • Clear and professional verbal and written communication skills for interacting with suppliers and internal teams.
  • Ability to work effectively in a busy, fast-paced team environment.

This is a Contract position based out of New Berlin, WI.
Pay and Benefits
The pay range for this position is $17.00 - $18.50/hr.
