Job description

We are seeking a detail-oriented Invoice & Logistics Coordinator to support our operations team by managing invoicing processes while ensuring alignment with shipping and logistics activities. This role requires a strong understanding of billing procedures, freight documentation, and supply chain workflows to ensure accuracy, timeliness, and compliance.

Key Responsibilities:

  • Generate, review, and process customer invoices in alignment with shipping records and contracts
  • Verify billing accuracy by cross-referencing purchase orders, shipping documents (BOLs), and delivery confirmations
  • Coordinate with logistics, warehouse, and transportation teams to ensure timely and accurate invoicing
  • Track shipments and resolve discrepancies related to billing, freight charges, or delivery issues
  • Maintain accurate records of invoices, shipping documents, and customer accounts
  • Assist with accounts receivable processes, including payment tracking and follow-up on outstanding invoices
  • Communicate with customers regarding invoice questions, discrepancies, and payment status
  • Support month-end closing activities related to billing and logistics reconciliation
  • Ensure compliance with company policies, contracts, and regulatory requirements

Qualifications:

  • 2+ years of experience in invoicing, billing, or accounts receivable within a logistics, shipping, or supply chain environment
  • Strong understanding of freight terms, shipping documentation (BOL, POD), and logistics workflows
  • Experience working with ERP systems (e.g., NetSuite, SAP, Oracle, or similar)
  • Proficiency in Microsoft Excel and other Microsoft Office applications
  • Excellent attention to detail and organizational skills
  • Strong problem-solving abilities and ability to reconcile discrepancies
  • Effective communication skills with both internal teams and external customers
  • Ability to manage multiple priorities in a fast-paced environment

Preferred Qualifications:
