Job description

Position: Construction Project Manager
Reports to: Director of Construction
Department: Construction
Purpose: Contribute to Excel Fitness' success by managing and coordinating all design and construction efforts for new club openings, relocations, expansions, and remodels. The Project Manager will verify that clubs are built to architectural plans, budgets, and brand standards. The role also oversees procurement for construction and furniture, fixtures, and equipment (FF&E), including managing purchase orders and tracking long-lead items. Ensures the successful opening, relocation, expansion, and major remodel of all locations throughout current and future development areas.
Duties and Responsibilities:
  • Manages ground up construction projects, including site development, utilities, shell construction, and coordination through full building delivery and turnover Utilize and manage construction management software to manage projects and report out to the Operations, Accounting, and Development teams.
  • Selects and directly manages architects, consultants, general contractors, and vendors; enforces cost, schedule, and quality accountability. Provides hands on GC management, including bid leveling and contract negotiation.
  • Supports site due diligence by identifying early project risks, key cost drivers (MEP, utilities), and long lead items; brings preconstruction and/or estimating exposure.
  • Leads all phases of projects, including procurement, design/architecture, permitting, budgeting, construction, closeout, and turnover.
  • Supports in reviewing the Letter of Intent and site plans for schematic viability.
  • Supports the Development Team with construction cost and site analysis on new club development, including procurement strategies.
  • Investigate new methods of design, equipment/materials specifications, and coordinate with our architects to implement design changes to construction drawings.
  • Directly supervises GC performance throughout the project, driving schedule adherence, reviewing pay applications, and managing change orders.
  • Provides problem-solving input and solutions to ongoing construction issues, mitigating supply chain constraints and resequencing work or materials when needed, leading necessary actions to address delays, adverse weather conditions, or emergencies at construction sites.
  • Prepares schedules and maintains positive, clear, concise, and transparent cross-team communication, regularly updating stakeholders on progress and changes throughout project delivery.
  • Prepares possession of tenant spaces by monitoring general contractor and major vendor performance/procurement delivery during the construction build-out phase.
  • Owns procurement strategy for FF&E, high cost materials, and long lead equipment (e.g., RTUs, electrical gear), managing submittals, POs, delivery logistics, and warehousing.
  • Regularly visits job sites to ensure quality, adherence to plans, and timely delivery. Manages construction updates, resolves RFIs and change orders, and conducts final inspections with a detailed punch list.
  • Maintains relationships with jurisdictions, planning commissions, & expediters for timely club openings and/or cost savings opportunities.
  • Works with other departments to improve tools and processes for execution on new club builds and remodels.
  • Ensures adherence to company contract policies, including review and interpretation of AIA contracts, scopes, vendor terms, and change order documentation.
  • Maintains project files, project contract administration, and project management.
  • Prepares internal and external reports pertaining to job status.
  • Maintains, adjusts, and updates project schedules and reporting.
  • Collaborates across departments to enhance communication processes and tools for capital projects. Interprets lease agreements and landlord/tenant work letters, ensuring stakeholders understand rights, obligations, and delivery conditions for successful project execution.
  • Manage project financial reconciliation, including review and approval of pay applications, tracking committed vs. actual costs, reconciling budgets at closeout, and resolving discrepancies with GCs and vendors

Qualifications:
  • High School diploma or equivalent required. Bachelor's degree in business, construction or related field preferred. Equivalent related work experience or combination of experience and education will be considered in lieu of Bachelor's degree.
  • At least 5 years of experience performing construction management job functions for construction projects of ground-up and second-generation spaces.
  • At least 5 years of experience in a role managing construction with 10 or more concurrent projects or units in a retail environment required.
  • At least 5 years of experience in a role bidding and negotiating for construction projects required.
  • At least 5 years of experience overseeing procurement for construction and FF&E, including competitive bidding, vendor selection, purchase orders, and tracking long lead items.
  • At least 5 years of experience in a role performing the following job functions required: Managing construction permits and approvals for the development process - managing one (1) or more construction support staff member(s) partnering with designers, architects, or real estate professionals.
  • Must hold a valid state driver's license, proof of insurance, an acceptable driving record, and reliable transportation.
  • Proficiency in the use of Microsoft Teams, SharePoint, Outlook, Word, PowerPoint, and Excel.
  • Strong analytical and problem-solving skills.
  • Ability to work independently in a demanding, fast-paced environment.
  • Ability to manage others.
  • Strong project management skills.
  • Capable of adapting quickly in a rapidly-changing environment, manage multiple, complex projects for national retail industry and negotiate.

Supervisory Responsibility: This position has no supervisory responsibilities.
Work Environment: This job primarily operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. While performing the duties of this job, the employee will frequently inspect the project and may be exposed to ongoing construction. The noise level in those work conditions may range from moderate to loud.

Position Type/Expected Hours of Work: This is a full-time, exempt position. Under the Regulations, Part 541, an exempt Team Player is one who is not entitled to the minimum wage or overtime pay protections of the Fair Labor Standards Act (FLSA).
Standard work days and hours are Monday through Friday, between 8:00 a.m. and 5:00 p.m. This position may work outside of normal business hours, including evenings and weekends.
Travel: 50% travel is expected for this position. Must be willing to travel based on company need to all locations and work sites, as necessary within a reasonable timeframe, either by driving or flying. Overnight trips will be necessary when traveling outside of the local area.
