Job Description
The Senior Buyer - Facilities is responsible for managing the procurement of goods and services related to facilities management within a dynamic hospitality environment. This role focuses on sourcing, negotiation, and supplier management to ensure optimal cost, quality, and service. The ideal candidate will possess deep procurement expertise, specifically in facilities operations, maintenance, and capital projects while demonstrating a strategic approach to vendor partnerships.
Procurement & Sourcing:
  • Lead the procurement process for facilities-related goods and services, including HVAC, electrical, plumbing, cleaning services, building maintenance, renovations, and capital expenditure projects.
  • Develop and execute RFPs (Request for Proposals), RFQs (Request for Quotes), and contracts to secure competitive pricing and terms.
  • Evaluate suppliers and negotiate contracts to ensure favorable pricing, quality, and service.

Vendor Management:
  • Build and maintain strong relationships with key suppliers and vendors.
  • Monitor supplier performance through KPIs and ensure compliance with company policies and SLAs (Service Level Agreements).
  • Address and resolve issues related to vendor performance or non-compliance.

Cost Optimization:
  • Identify cost-saving opportunities through strategic sourcing, process improvement, and value engineering
  • Analyze purchasing trends to drive efficiency and reduce unnecessary spend.
  • Collaborate with finance teams to forecast budgets and track spending.

Collaboration & Communication:
  • Partner with internal stakeholders, such as Facilities, Operations, and Finance teams, to understand needs and ensure alignment with business goals.
  • Serve as the key liaison between vendors and project managers for facility initiatives.

Compliance & Risk Management:
  • Ensure procurement activities comply with corporate policies, legal regulations, and ethical standards.
  • Mitigate risks through proper supplier vetting and contract management.

Reporting & Analytics:
  • Provide regular reports on procurement activities, savings achieved, and supplier performance.
  • Utilize data and procurement tools to inform decision-making and identify improvement areas.

Qualifications
Experience: Minimum of 2-4 years of experience in procurement, with a focus on facilities management, hospitality, or construction-related purchasing.
Skills:
  • Strong negotiation, analytical, and problem-solving skills.
  • Proficiency in procurement software and tools (e.g., SAP, Ariba, Oracle, Coupa).
  • Knowledge of facilities management systems and understanding of capital improvement projects.
  • Ability to read and interpret contracts, vendor proposals, and technical specifications.
  • Excellent communication, organizational, and leadership abilities.
