The Event Coordinator serves as the primary guide for clients throughout the sales and planning process. This role is responsible for building relationships, understanding client goals, developing proposals, and coordinating the details necessary to bring events to life.

Key Responsibilities

  • Generate new business opportunities and develop relationships with prospective clients
  • Maintain and grow relationships with existing clients, venues, planners, and industry partners
  • Assess client needs and develop customized proposals that align with their goals and budget
  • Guide clients through the sales process from inquiry to signed contract
  • Prepare proposals, contracts, invoices, and event documentation
  • Manage accounts receivable and ensure timely collection of payments
  • Develop a strong understanding of Catering by Michaels menus, services, and event capabilities
  • Collaborate closely with culinary, operations, and sales teams to ensure seamless event execution
  • Attend menu meetings, sales meetings, and production meetings as scheduled
  • Participate in networking events, trade shows, and industry associations
  • Represent Catering by Michaels at community, hospitality, and professional events
  • Attend client events when necessary to ensure successful execution and relationship development
  • Monitor industry trends, competitor activity, and market opportunities
  • Maintain professional communication through email, phone, and in-person meetings
  • Perform additional duties and special projects as assigned

Qualifications

  • Minimum of 3 years of successful off-premise catering sales experience with a proven track record of results
  • Degree from an accredited institution or 4 or more years of experience in hospitality, catering, and culinary sales
  • Experience with Caterease or similar event management software preferred
  • Ability to sell, plan, and service events ranging from 10 to 1,000+ guests
  • Active involvement in professional catering, hospitality, or related organizations preferred
  • Passion for food, beverage, hospitality, and event experiences
  • Knowledge of wine, spirits, and beer preferred
  • Strong ability to build relationships and earn client trust
  • Excellent organizational and multitasking skills
  • Outstanding verbal and written communication abilities
  • Professional appearance and demeanor
  • Ability to manage multiple events, timelines, and priorities simultaneously
  • Strong business acumen and problem-solving skills
  • Proficiency in Microsoft Office Suite and Outlook
  • Flexible schedule including occasional evenings, weekends, and holidays as required by client needs

Work Environment

This role is based in our Morton Grove office and supports events throughout Chicago and the surrounding suburbs. The position combines office-based sales and planning responsibilities with client meetings, networking opportunities, venue visits, and event attendance.

Travel is primarily local during business hours, although occasional evening, weekend, and overnight travel may be required.

All of our Event Coordinators are present and onsite for their clients events. 

Physical Requirements

  • Regularly required to communicate with clients, team members, and vendors in person and by phone
  • Frequently required to stand, walk, and use hands for office and event-related activities
  • Occasionally required to lift and carry office materials, event documents, and supplies up to 30 pounds
