Contracts Coordinator
Location: Bridgewater, VA (possible for remote/virtual)
Position Summary: The Contracts Coordinator supports the day-to-day operations, organization, and process development of the Contracts function. Reporting to the Contracts Manager, this role is embedded within the Contracts function and works closely to support workflow coordination, contract tracking, documentation management, and process standardization.
This is an early-career opportunity designed for someone who is highly organized, analytical, and interested in building structure within a business function. The role is not negotiation-heavy and instead emphasizes operational execution, internal coordination, and process improvement. The Contracts Coordinator will provide direct support to the Contracts Manager in managing contract workflows and developing scalable systems and processes.
The position will also provide administrative support to trade compliance activities, with training provided as needed.
Key Responsibilities:
  • Maintain and organize contract files, templates, and repositories (e.g., SharePoint) to ensure accuracy, consistency, and accessibility
  • Track contract lifecycle activities including intake, awards, modifications, expirations, and closeouts
  • Support the development and standardization of workflows, trackers, templates, and internal processes across the Contracts function
  • Assist with intake, logging, and routing of contract requests or forms to ensure visibility and timely processing
  • Prepare and process routine contractual documents (e.g., NDAs, basic agreements, modifications) using established templates
  • Monitor and track key contractual milestones, deliverables, and reporting requirements
  • Coordinate with internal stakeholders (finance, operations, business development, and compliance) to gather information and support contract execution
  • Translate contract requirements and internal needs into clear trackers, summaries, and actionable items
  • Support documentation of procedures and assist with internal training on Contracts processes and tools
  • Provide administrative and tracking support for trade compliance activities (e.g., documentation, recordkeeping, coordination), with training provided
  • Identify and recommend opportunities to improve organization, tracking, and workflow efficiency within the Contracts function
  • Provide general administrative and operational support to the Contracts Manager
  • Maintain professional and responsive communication with internal and external stakeholders
  • Other duties as assigned

Required Qualifications
  • Bachelor's degree in business, economics, political science, law, or related field
  • 0-2 years of experience in an administrative, operations, compliance, or analytical role (internships included)
  • Strong organizational skills with high attention to detail and accuracy
  • Demonstrated ability to manage multiple tasks and meet deadlines
  • Strong written and verbal communication skills, including ability to summarize complex information clearly
  • Proficiency in Microsoft Office Suite (especially Excel); familiarity with SharePoint or similar systems is a plus
  • Analytical mindset with interest in building processes, systems, and structure
  • Self-motivated, proactive, and comfortable working both independently and in a team environment
  • Comfortable working in a remote, in-office, or hybrid environment
  • Infrequent travel as needed (e.g., Bridgewater, VA or training)

Preferred Qualifications
  • Exposure to government, policy, regulatory, or compliance environments
  • Experience building or managing trackers, workflows, or organizational systems
  • Familiarity with contract lifecycle concepts or regulated environments
  • Basic awareness of FAR/DFARS or ITAR/EAR (training will be provided)
