Job description

Equipment Clerk

The Equipment Clerk is responsible for administering and maintaining equipment asset records within Microsoft Dynamics 365 Finance & Operations (D365 F&O). This position ensures equipment data is accurate, complete, and consistently maintained throughout the asset lifecycle. The Equipment Clerk creates asset records for purchased and rented equipment, manages supporting documentation, and collaborates with equipment managers across multiple subsidiaries to ensure compliance with company standards and reporting requirements.

Key activities include:

  • Create and maintain equipment asset records in Microsoft Dynamics 365 Finance & Operations (D365 F&O).
  • Assign unique asset identification numbers for purchased and rented equipment.
  • Review asset information for completeness, accuracy, and consistency across company records.
  • Maintain equipment master data and ensure adherence to established data standards.
  • Attach and organize supporting documentation, including purchase agreements, rental contracts, invoices, photographs, and other asset-related records.
  • Audit asset records and correct discrepancies to improve data quality and system integrity.
  • Coordinate with equipment managers and stakeholders across multiple subsidiaries to obtain, verify, and update equipment information.
  • Support equipment transfers, status changes, and other asset lifecycle transactions.
  • Assist with reporting, data validation, and system audits related to equipment assets.
  • Follow company standards and procedures for asset management, document retention, and record maintenance.
  • Recommend process improvements that enhance data accuracy, consistency, and efficiency.

Knowledge and skills required include:

  • Preference given to individuals with knowledge of construction equipment, processes and systems.

Physical requirements:

  • Sedentary work, requiring regular lifting up to 10lbs and occasional lifting up to 25 lbs
  • Repetitive motion associated with operating a computer and other office equipment
  • Inside, climate-controlled working conditions, seated at a desk for extended periods of time
  • Occasional overnight travel and more frequent local travel
