Position Summary:  

The Springs Living is seeking a Project Coordinator to support the delivery of capital improvement and facilities projects. This role assists the Facilities & Capital Projects department in organizing schedules, maintaining construction documentation, coordinating with contractors, and ensuring compliance with project requirements. The position is highly collaborative, supporting the teams to keep timelines, budgets, and quality standards visible and achievable.

Key Responsibilities: 

  • Maintains project documentation, including RFIs, submittals, change orders, contracts, pay applications, inspection reports, schedules, and budget tracking
  • Prepares and maintains project plans, budget documents, tracks project progress, and prepares
    reports for team or project stakeholders
  • Coordinate permitting activities with appropriate jurisdictions
  • Support the preparation of bid packages and the procurement of subcontractors and vendors
  • Maintain construction files, drawings, specifications, and material approvals
  • Conduct and/or assist with jobsite progress inspections and prepare field documentation
  • Track construction progress against schedules and follow up on outstanding deliverables
  • Coordinate with the Director of Project Management and Project Managers to ensure accurate documentation of floor plans, shop drawings, and material selections
  • Assist in managing the CapEx budgetary process, including tracking expenditures and maintaining records
  • Support closeout activities, including punch lists, warranty documents, O&M manuals, and as -built drawings
  • Participate in training, workshops, and industry networks to maintain professional and technical expertise
  • Tracks lien releases, insurance certificates, additional insured endorsements and other documents
  • Perform other duties as assigned by the department

Qualifications:

  • Associate degree in construction management, engineering, or related field; or equivalent work/certificate experience
  • 3+ years of experience in construction project coordination, administration, or a related field
  • Demonstrated success in supporting construction projects from design through closeout
  • Familiarity with construction drawings, specifications, contracts, and permitting process
  • Knowledge of building codes and safety practices
  • Proficiency with MS Office Suite; experience with construction software such as Procore, Bluebeam, Smartsheet, or similar
  • Strong organizational, time management, and problem-solving skills
  • Excellent verbal and written communication skills, with the ability to prepare reports, correspondence, and presentations
