JOB DESCRIPTION

JOB TITLE: CMMS Asset and Contract Controller DATE: 05/26

REPORTS TO: Preventative Maintenance Manager STATUS:Exempt

JOB SUMMARY:
The CMMS Asset & Contract Controller supports the Preventative Maintenance Manager by governing CMMS data integrity and maintenance-related contracts. This role standardizes asset and parts data, ensures accurate cost tracking, and aligns vendor agreements with maintenance operations and financial goals.

DAILY DUTIES & RESPONSIBILITIES:

  1. 1. Maintain and enforce standards for asset naming, hierarchy, and classification while regularly auditing CMMS data to ensure accuracy and consistency across the operation. Support the development and ongoing maintenance of preventive maintenance schedules.
  2. Serve as the material master for maintenance parts and inventory data by standardizing part descriptions and configurations. Partner with the parts department to eliminate duplicate SKUs and improve catalog efficiency.
  3. Manage maintenance-related vendor contracts and service agreements, ensuring they are accurately reflected in the CMMS. Monitor vendor performance and ensure follow-up work orders are generated based on service reports.
  4. Monitor CMMS and Microsoft Dynamics 365 transactions to ensure accurate cost allocation to assets and departments. Track maintenance spends and provides regular reporting and insights to maintenance and parts teams.
  5. Identify and submit cost savings and efficiency opportunities while supporting maintenance budget development with analytics and stakeholder input. Ensure CMMS updates and changes align with planning and budget objectives.
  6. Responsible for Maintenance Budget Forecasting and monthly Budget Planning.

REQUIREMENTS OF THE POSITION:

  1. 1. Knowledge of EAM systems.
  2. 2. Knowledge of asset management processes and systems.
  3. 3. Knowledge of maintenance materials (parts) and inventory controls.
  4. 4. Knowledge of preventive and predictive maintenance schedules.
  5. 5. Skill in maintaining and updating an asset management system.
  6. 6. Skill in maintaining and updating maintenance schedules and strategies.
  7. 7. Skill in using a computer and a variety of software, including Microsoft D365, Word, Excel, Access, Outlook and EAM.
  8. 8. Skill in training employees.
  9. 9. Skill in communicating in a professional manner, both verbally and in writing.
  10. 10. Skill in managing multiple priorities.
  11. 11. Skill in budget management.
  12. 12. Ability to work independently and in a team environment.
  13. 13. Ability to be a good representative of the Company and always display the highest levels of ethical behavior and integrity.
  14. 14. Ability to work flexible hours.
  15. 15. Ability to travel as needed.
  16. 16. Ability to monitor and evaluate contractors' performance.

PREFERRED EXPERIENCE:

1. Bachelor's degree in business administration or a related field experience.

2. Minimum of three years' experience in a diverse manufacturing environment involving scheduling and financial planning.
