Security Service & Construction Project Administrator plays a vital support role within the project management team, ensuring that all administrative aspects of security projects are organized, documented, and efficiently executed. The ideal candidate is detail-oriented, highly organized, and familiar with the construction industry.

Key Responsibilities:

  • Provide administrative support to project managers and field supervisors for security projects.
  • Prepare and manage project documentation, including contracts, submittals, RFIs, and closeout packages.
  • Maintain and update project files and documentation logs.
  • Track project schedules and deadlines, ensuring all documentation is submitted on time.
  • Coordinate and communicate with vendors, subcontractors, and clients regarding project status and documentation.
  • Assist in preparing Direct Owner Purchase billing and invoicing documentation.
  • Help ensure compliance with local, state, and federal regulations and company safety policies.
  • Organize and schedule project meetings, prepare agendas, and take meeting minutes as needed.
  • Generating work orders.
  • Invoice service tickets.
  • Assist with permitting for several municipalities.

Qualifications:

  • 3+ years of experience in a construction or security contracting environment, ideally in a project administrative role preferred.
  • Strong knowledge of construction documentation and processes.
  • Proficiency in MS Office Suite (Word, Excel, Outlook), and project management software (e.g., Autodesk (ACC Build) , Viewpoint, Bluebeam).
  • AutoCAD experience a plus.
