Job description

Construction Office Assistant

We are seeking a Construction Office Assistant to support our growing national construction management team. This is not a basic clerical position—we are looking for someone who can actively manage follow-up, communication, and coordination across multiple projects. If you are organized, proactive, and comfortable communicating with contractors across the country, this is a great opportunity to be part of a fast-paced construction environment and grow into a full Project Management role.

Key Responsibilities

  • Follow up on proposals, maintenance agreements, and contract execution
  • Track and manage warranty documentation and payment records
  • Coordinate with national subcontractors for construction and facility maintenance work
  • Make outbound calls to subcontractors to source and schedule work
  • Assist Project Managers with active construction projects and daily operations
  • Maintain organized records and ensure timely follow-through on all items
  • Update and manage construction software including Procore, Smartsheets, Dropbox, and Excel

What We’re Looking For

  • Strong communication skills (phone and email)
  • Ability to follow up consistently and keep things moving
  • Organized, detail-oriented, and reliable
  • Comfortable working in a fast-paced, multi-project environment
  • Self-motivated and able to take initiative
  • Construction or administrative experience preferred, but not required

What This Role Is (and Isn’t)

  • This is an active, hands-on role supporting real construction projects
  • This is a position where follow-up, coordination, and communication are critical
  • This is an entry point into Project Management
  • This is not a data-entry or filing-only position
  • This is not for someone who waits to be told what to do

What Sets This Role Apart

  • This is a role where you’ll be trusted to take ownership
  • High-volume, fast-paced environment supporting projects nationwide
  • Opportunity to grow quickly into a Project Manager role if you can perform
  • Direct exposure to all phases of construction—from coordination to execution

Additional Details

  • Based in North Pinellas County, FL
  • Full-time position
  • Compensation based on experience

If you’re someone who takes ownership, communicates well, and keeps things moving, we’d like to hear from you. Apply today and be part of a growing team.
