Job description

Office Manager/Bookkeeper

Responsibilities:

Bookkeeping

  • Maintain accurate bookkeeping using QuickBooks Online
  • Process accounts payable and payroll
  • Categorize and reconcile all income, expenses, bank accounts, and credit cards
  • Maintain balance sheet accounts, including loan amortization schedules and fixed assets
  • Prepare monthly financial statements, including:
    • Profit & Loss Statements
    • Balance Sheets
    • Budget-to-Actual Reports
    • Cash Flow Reports
  • Assist with budgeting and financial forecasting
  • Prepare year-end information for tax returns, including 1099s and W-2 reporting
  • Support tax planning and financial analysis projects

Office Operations

  • Coordinate office workflow and administrative processes
  • Schedule meetings and maintain calendars
  • Prepare meeting notes, action items, and follow-up communications
  • Track project status and client hours
  • Develop and maintain organized digital and paper filing systems
  • Draft correspondence, reports, and professional documents
  • Answer client inquiries by phone and email with professionalism and warmth

Vendor & Project Coordination

  • Obtain vendor bids and coordinate projects
  • Verify completion of work before authorizing payment
  • Collect and maintain insurance certificates, W-9s, and other required documentation
  • Coordinate with outside professionals, vendors, and contractors

Team Support

  • Assist with research for financial planning, tax planning, estate planning, and Legacy Map projects
  • Cross-train with team members to provide operational support
  • Participate in process improvement initiatives
  • Perform additional administrative and operational responsibilities as assigned
  • Perform all other office tasks requested
  • Support, cross train and cover team members as needed

Qualifications:

Required

  • Three or more years of bookkeeping or accounting experience
  • Strong QuickBooks Online experience
  • Experience reconciling accounts and preparing financial statements
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
  • High attention to detail and accuracy
  • Advanced proficiency with Microsoft Office 365, particularly Excel
  • Ability to prioritize multiple projects and meet deadlines
  • High degree of integrity and confidentiality

Preferred

  • QuickBooks ProAdvisor Certification (or willingness to obtain)
  • Associate's or Bachelor's degree in Accounting, Finance, or Business
  • Experience supporting multiple businesses or professional service firms
  • Experience with CRM and cloud-based business software
  • Payroll experience
