Construction Project Coordinator
The Project Coordinator plays a critical role in supporting project management teams for multifamily renovation or capital improvement projects. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple projects in a fast-paced construction environment.
Responsibilities:
  • Provide overall daily administrative support to the project management team
  • Ensure daily adherence to project management protocols, with a focus on compliance and administrative accuracy across all active projects
  • Assist in researching, compiling, and submitting all documentation required for permitting and regulatory approvals
  • Assist in assembling and managing project submittals for client and engineering review
  • Aid in coordination of procurement and purchasing of major materials, ensuring cost control and timely delivery
  • Help source subcontractors and vendors for project managers
  • Assist in entering and maintaining project and lead data within the company CRM system
  • Assist in tracking and updating project schedules to reflect real-time progress and changes
  • Conduct job site visits to perform quality control checks and verify project standards are met
  • Help prepare detailed Subcontractor Scope of Work (SOW) documents
  • Work closely with the Project Management team to ensure client proposals are submitted accurately and on time.
  • Aid in accuracy and completion of daily and weekly project progress reports
  • Develop and maintain a preferred vendor list for the region based on metrics for cost, quality and reliability
  • Assist in creating closeout binders for large projects - warranties, materials, data sheets, paint specs, inspection reports, permits, daily reports, final signoffs, etc.
  • Help process and track change orders in a timely manner
  • Review and facilitate approval of invoices in accordance with project timelines
  • Assist in other duties as assigned
Skills and Qualifications:
  • 2–5 years of experience in construction coordination, project administration - multifamily or renovation experience preferred
  • Ability and willingness to occasionally travel long distances as necessary per project requirements
  • Strong knowledge of construction documentation, permitting processes, and project workflows
  • Proficiency in CRM systems, Microsoft Office Suite, and project scheduling tools (e.g., MS Project, RedTeam, or similar)
  • Excellent organizational, communication, and time management skills
  • Ability to manage multiple projects and deadlines simultaneously
  • Valid drivers license
