Job description

Parts and Delivery Associate

Location: Varies

FLSA Status: Non-Exempt

Schedule: Monday - Friday, 8:00 am- 5:00 pm

Office Status: (Office, Hybrid, Remote) Office

Note: Any hybrid work is granted based on performance and may be revoked according to manager discretion and performance based on company policy

Travel: Up to 95% local travel

Reports to: Parts Manager

Direct Reports: None

Position Purpose

Contribute to making Southern States Material Handling a leader in the material handling industry by supporting internal and external customers in supplying parts and accessories, and processing all parts needs, assisting to maintain an effective parts inventory, and delivery of parts to customers for standard deliveries or pick-ups and the effective management of customer consignment lockers.

Major Tasks, Responsibilities and Key Accountabilities

  • Maintain customer consignment physical inventories by tracking and replenishing parts and accessories.
  • Visit assigned customer locations weekly and perform physical count of parts inventory.
  • Log the difference between what customer has versus predetermined set level ensuring that next time customer location is visited, this used inventory is replenished.
  • Maintain a log on each customer consignment that shows customer name, last inventory date and last parts stocking update.
  • In a safe and timely manner, perform parts deliveries in a company vehicle to pick up and/or deliver parts.
  • Gather parts to fulfill orders and load them into delivery vehicle.
  • Unload parts at customer location according to their specifications.
  • Review any suggestions for stocking amounts/levels with Parts manager before making or suggesting changes with customer.
  • While at customer sites, survey regularly for additional sales/solutions opportunities.
  • Adhere to all company safety, safe driving, and compliance regulations and company policy.
  • Always focus on safety while driving and delivering parts following all State and federal mandated traffic laws and regulations.
  • Ensure SSMH delivery vehicles are returned to the branch nightly unless specifically approved by the Branch Operations Manager.
  • Any other duties assigned needed to help drive our Vision, fulfill our Mission, and abide by our Organization's Values.
  • If consignment duties are complete for the day/week, perform standard parts associate duties (see below).

Parts Associate Major Responsibilities:

  • Answer incoming parts calls and process customer orders.
  • Process parts orders for road and shop technicians.
  • Assist and interact with walk-in customers, supporting parts needs & providing exceptional customer service.
  • Process part orders in a timely and efficient manner.
  • Lookup parts in inventory and electronic catalogs supplying the correct part identification and retrieval.
  • Create sales quotes and invoices providing accurately priced parts and accessories.
  • Participate in inventory management by receiving, stocking, and maintaining inventory in a clean and organized manner.
  • Maintain accurate inventory records of stock levels and replenish when needed.
  • Ensure proper documentation of all transactions and returns is completed.
  • Operate a forklift to assist in loading/unloading parts and managing inventory as required at branch location. *Only after Safety & Operator Training has been certified.
  • Participate in Service Van Parts replenishment to support technicians.
  • Additional duties may include occasionally delivering parts to customer locations, pressing tires, preparing displays, or participating in inventory counts.

  • Goal-oriented and ability to self-start and take on new challenges.
  • Demonstrate above average time management, creativity, and cooperation skills.
  • Ability to multi-task and manage multiple assignments and tasks and set priorities, as well as adapt to changing conditions and work assignments.
  • Critical thinking and problem-solving skills
  • Ability to lift up to 55 lbs.

Education and Experience

  • 1-2 years in parts sales preferred.
  • Forklift or material handling parts sales experience or product knowledge is highly desirable.
  • High school diploma or GED
  • At least 12 months related work experience, or combination of education and work experience
  • Current ASE Parts Specialist Certification P1 or P2 is highly desirable.
  • Ability to work in a constant state of alertness and safe manner.
  • Must have a clean driving record and be able to produce a valid driver's license.

Nature and Scope

Position reports to the Parts Manager with accountability to the Branch Operations Manager.

Environmental Job Requirements

The SSMH general working environment consists of moving machinery and mechanical parts in outdoor areas and office work in indoor areas. This role requires frequently driving in a company vehicle to pick up and/or deliver parts around local territory, working at a desk using a computer, and frequently walking in the shop area, customer location, painting area, and other areas of the facility, which have moving machinery and dusty, noisy, and drafty environments may be necessary. Fumes, airborne particles, toxic, or caustic chemicals may be present in outdoor, well-ventilated areas. These areas involve walking on a concrete floor which may have temporary cracks appearing in the floor, causing an uneven walking surface. Safety Shoes will be required to be worn depending on the work area environment.

Physical & Mental Job Requirements

The majority of this position requires travel by company vehicle and will require prolonged periods of sitting and driving in light to heavy traffic. At times, this position will require travel to other branches in Florida and Georgia. This role may also require sitting at a desk utilizing a computer and monitor frequently - 75%. Visual fatigue may happen with extended periods of computer use. Walking up and down stairs, on carpet, tile, and concrete areas is necessary in this position - 50%. Outside exposure is present in this position, depending on customer or delivery needs - 30%. Of an 8-hour workday, the employee would typically spend time doing the following: standing 15%; walking 15%; sitting 60%; using hands and arms100%; stooping, kneeling, crouching, or crawling 10%; hearing and talking 100%. The ability to learn, remember, focus, and integrate information for decision making, problem-solving, and comprehension will be needed 100%. In this position, moderate noise is expected, examples include typical warehouse, machinery, and business office noise from computers and printers and exposure to noise from light foot traffic. Distance/near clear vision is critical. Ability to lift up to 55 lbs.
