The Opportunity

We are seeking a Retail Contracts Manager to lead the management of retail contracts and associated operational processes across our mixed-use assets. This role is a vital connection point within our organization, serving as a key liaison across Legal, Property Management, Retail, and Residential ("Living") teams to drive contract compliance, mitigate operational risk, and enable integrated service delivery. What You'll Do

1. Contract Services & Procurement Lifecycle

  • Lifecycle Administration: Oversee the full lifecycle of retail-related contracts, including drafting coordination, review facilitation, execution readiness, and ongoing administration.
  • Strategic Alignment: Ensure all operational contracts align perfectly with Property Management Agreements (PMAs), explicit lease obligations, and established company standards.
  • RFP & Bidding Oversight: Coordinate the RFP and bidding process for retail service contracts, ensuring rigorous documentation, tight scope definitions, and proper vendor selection alignment.
  • Performance Monitoring: Monitor vendor contract performance, checking service delivery benchmarks, billing accuracy, and compliance with agreed terms, proactively escalating discrepancies as needed.

2. Legal Liaising & Litigation Tracking

  • Legal Liaison: Serve as the direct operational liaison between Management Services and Legal to ensure strict contract alignment, accurate documentation, and proactive risk awareness.
  • Dispute Resolution: Track contract-related disputes, vendor claims, and operational escalations, ensuring timely communication updates and close coordination with Legal stakeholders.
  • Audit Readiness: Maintain highly organized, transparent records of contract amendments, legal correspondence, and litigation-related materials to support internal audits.

3. Risk Management & Commercial Protection

  • Risk Identification: Proactively identify contractual and operational risks related to retail tenants, third-party vendors, and specialized service agreements, escalating issues appropriately.
  • Brand Protection: Verify that all agreements include robust legal protections-such as comprehensive insurance parameters, indemnification clauses, and strict service levels-consistent with company standards.
  • Cross-Functional Mitigation: Partner with property teams to aggressively mitigate risk exposure regarding vendor performance failures, unmet tenant obligations, and execution gaps.

4. Lease Administration & Multi-Asset Support

  • Provision Interpretation: Support the interpretation and field administration of key retail lease provisions, including tenant operational obligations, use clauses, and compliance requirements.
  • Operational Adherence: Ensure retail tenants and service providers completely adhere to lease terms, house rules, and everyday property operational standards.
  • Living x Retail Connectivity: Act as a key connector between Living (Residential) and Retail teams in mixed-use environments to align shared contracts, shared vendors, and joint operational delivery, maximizing the experience for both tenants and residents.

5. Retail Center of Excellence

  • Standardization & Workflows: Contribute to the development, design, and standardization of retail contract processes, master templates, and governance best practices to enhance scalability.
  • Knowledge Sharing: Support internal training and knowledge-sharing initiatives to elevate contractual and compliance capability across HRBP, operations, and property management teams.

Requirements

What You Bring to the Table

Education & Experience

  • Background: Bachelor's degree in Business Administration, Real Estate, Law, or a highly related field preferred, combined with 3-5+ years of progressive experience managing commercial contracts, corporate procurement, or retail lease compliance.
  • Mixed-Use Expertise: Direct experience navigating commercial real estate frameworks, vendor contracts, or integrated retail/residential property operations is a significant plus.
