Job description

We are a small, family-oriented private pediatric practice operating right in the heart of San Diego. Our team consists of 3 Physicians and 1 Nurse Practitioner, together caring for approximately 75 patients each day. Our mission is simple: to ensure every child in our community receives the high-level health expertise and loving care they deserve. If you are a business-driven operational guru, we want you! We are seeking a sharp, proactive Practice Manager who genuinely loves diving into operations, identifying process gaps, and building structured systems that keep our busy practice running seamlessly. If you thrive on optimizing workflows, managing daily patient flow, holding staff accountable to healthcare regulations and company SOPs, and keeping a high-volume medical office organized and compliant, you will fit right in.

Key Responsibilities

1. Operational Optimization, SOP Enforcement & Compliance

  • Continuously audit daily operations to identify workflow gaps, bottleneck areas, and inefficiencies across our 75+ daily patient visits.
  • Design, implement, and refine clear standard operating procedures (SOPs) to streamline practice functions.
  • Ensure strict adherence to healthcare regulations, HIPAA, compliance guidelines, and practice policies across all staff.
  • Utilize Connecteam to delegate tasks, track project accountability, manage staff scheduling, and streamline internal communication.

2. Leadership, HR & Team Accountability

  • Provide strong, hands-on leadership to administrative and clinical team members supporting our 3 Physicians and 1 Nurse Practitioner.
  • Hold staff accountable to practice standards through regular check-ins, performance evaluations, and active coaching.
  • Manage recruitment, onboarding, credentialing, license renewals, and provider contract reviews.

3. Financial Management, Epic Reporting & Billing/Coding

  • Oversee billing workflows, accounts receivable, and overall revenue cycle management.
  • Generate and analyze operational, financial, and clinical performance reports using Epic software.
  • Collaborate closely with the billing department, leveraging strong knowledge of pediatric billing and coding to maximize revenue cycle efficiency.

4. Modern Technology & AI Integration

  • Utilize Google Workspace (Gmail, Drive, Docs, Sheets, Calendar) for practice documentation, tracking, and daily organization.
  • Leverage AI platforms to enhance practice efficiency, including clinical scribing, administrative note-taking, and operational research.
  • Partner with IT support to keep office tech systems secure and fully functioning.

5. Patient & Family Care

  • Maintain our warm, family-oriented culture by ensuring every patient and parent receives exceptional service.
  • Oversee scheduling workflows to optimize daily patient flow across 4 providers and minimize wait times.

Qualifications

  • Pediatric Experience: Direct experience working in a pediatric healthcare setting is required.
  • Managerial Experience: 5+ years of managerial experience in a medical office setting required.
  • Operational Drive: Proven track record of managing patient volume (approx. 75 patients/day), identifying operational inefficiencies, creating new processes, and enforcing SOPs.
  • EHR & Billing Expertise: Must have hands-on experience generating reports in Epic software, along with a firm grasp of medical billing and coding principles.
  • Tech & Tool Proficiency:
  • Highly proficient in Google Workspace (Gmail, Docs, Sheets, Drive, Calendar).
  • Experience using Connecteam (or similar team management software) for staff accountability and scheduling.
  • Experience utilizing AI tools for scribing, note-taking, and operational research.
  • Education: Bachelor’s degree in Healthcare Administration, Business Administration, or a related field preferred.
  • Interpersonal Skills: Outstanding leadership abilities, firm accountability management, and excellent communication skills.
  • Schedule Flexibility: Ability to maintain core clinic hours (M–F, 8:00 AM – 5:00 PM), with occasional weekend hours as required by operational needs.
