Job description

The role of the Production Assistant will assist the Plant Manager in the day-to-day administrative operations of the plant. Will be responsible for HR related activities. Communicate with Corporate teams and customers on a daily basis. Assist as needed in the plant inventories. Work closely with customers on delivery calls and pickups. Track Proof of Deliveries closely. Monitor safety throughout the plant (i.e., monthly training, GAP tracking, etc.) working closely with the Plant and Production Manager.

Essential Functions:
  • Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.
  • Managed filing, assisting with payroll, HR related duties.
  • Assist Plant Manager with daily duties (i.e., reporting, documentation, payroll related activities, recordkeeping, etc.).
  • Troubleshoot issues and conflicts as they arrive.
  • Order office supplies and equipment as needed.
  • Effectively communicate with all plant and corporate staff.
  • Administer pre-employment testing and hiring activities (i.e., oral drug screening, new hire orientation, safety training/test, etc.).
  • Process new hires and assist with other Human Resources functions.
  • Assist employees with any issues with Paycom.
  • Work closely with Corporate Human Resources on any HR or disciplinary issues.
  • Work closely with the Plant Manager to coordinate interviews.
  • Prints Schedules, Sort Lists, Print Labels, Print BOLs on a daily basis.
  • Assist with Customer Pick Ups.
  • Assist with Customer Confirmation Calls and/or contacting customers if delivery dates/times change.
  • Provide Ready Times and work with Scheduler.
  • Complete any Data Entry that is needed.
  • Process paperwork received from drivers, track any shorts or returned goods, properly document.
  • Assist with Proof of Deliveries (PODs), work closely with AR to ensure data is provided in a timely and accurate manner as well as maintain any spreadsheet and/or uploads to DocuWare.
  • Support the Plant Manager with monitoring safety throughout the plant, providing required monthly safety training, working closely with the EH&S Specialist on any GAP-related issues identified during the audit, and providing support for reporting injuries.
  • Assist with Physical Inventory (i.e., Data Entry, Counting, etc.).
  • Maintain Attendance Tracking on a daily basis. Work with Plant Manager, Production Manager, and Production Supervisors to provide documentation to employees and upload documentation to Paycom accordingly.
  • Assist employees with placing employee orders for mattresses as needed.
  • Responsible for coordinating monthly employee engagement (i.e., birthdays, anniversaries).
  • Other Duties as Required.
