We are seeking a Law Office Manager for an on-site position at our estate planning and family law practice. This full-time, in-office role requires direct management of our front desk operations and comprehensive administrative functions. The position demands a physical presence in our office to execute essential law firm operations while maintaining exceptional face-to-face client service standards. The ideal candidate brings proven experience running day-to-day operations in a law firm setting, with a demonstrated ability to manage multiple tasks efficiently.

Responsibilities:

Core Functions

Daily Operations:

  • Execute front desk duties, including client reception

  • Process and manage mail, certified mail, and courier services

  • Handle client intake procedures and trust account-related tasks

  • Maintain office supplies and manage vendor relationships

  • Process vendor invoices and general expense management

  • Coordinate conference room scheduling and meeting preparation

Technology & Systems Management:

  • Operate and troubleshoot office technology (postage machine, copiers, scanning systems)

  • Manage document preparation and processing

  • Coordinate technology inventory and maintenance

Administrative Responsibilities:

  • Process client payments (checks, cash, trust refunds)

  • Maintain professional relationships with building management and vendors

  • Coordinate office events and client meetings

  • Handle confidential document shredding procedures

  • Maintain office appearance and functionality

  • Manage procurement and purchasing according to established policies

  • Provide legal and executive assistant duties as assigned


Qualifications:

Required Experience & Skills

  • 3+ years of direct law office management experience

  • Proven track record in law firm front desk operations

  • Strong command of legal procedures and client confidentiality protocols

  • Demonstrated excellence in client communication and service

  • Expert-level organizational and multitasking abilities

  • Advanced proficiency in Microsoft Office Suite

  • Professional appearance and ability to maintain composure in high-pressure situations

  • Bachelor's degree preferred; equivalent experience considered

  • Ability to lift up to 35 lbs
