Overview

Fast Enterprises is a provider of essential software and services for citizens and government. In 1998, we changed the way government revenue agencies support their business with the introduction of GenTax. We have expanded beyond Tax and now also perform implementations for Motor Vehicle, Driver License, Unemployment Insurance, and Child Support Engagement agencies.

This role requires significant travel during peak conference season - May through October. Travel, events, and conference support tasks will extend outside of a normal working schedule.

Responsibilities

As a Conference Planner, you will be involved in every aspect of planning and executing conferences. Strong communication skills, sound judgment, and the ability to stay composed under pressure are essential. The ideal candidate will thrive in a challenging, fast-paced environment. 

Logistics Management 

  • Manage registered attendee logistics including registration, accommodations, material shipments, and travel coordination. 
  • Coordinate venue logistics such as organizing catering, equipment setup, and conference materials.  
  • Ensure all planning elements are tracked, updated, and aligned with event goals. 

Vendor Relations 

  • Build and maintain strong, positive relationships with vendors, responding to all vendor inquiries promptly and professionally.  
  • Ensure strong communication with vendors that aligns with company expectations and standards. 

On-Site Conference Coordination 

  • Travel to conference locations to manage on-site logistics during peak conference season.  
  • Address any changes or improvements quickly, ensuring all elements of the event run smoothly and professionally. 
  • Arrange decorations, catering, entertainment, transportation, invitee lists, and venue selection. 
  • Represent the company with a positive attitude and approachable demeanor. 

Collaboration & Communication 

  • Serve as a liaison between management, stakeholders, and vendors to ensure seamless collaboration and unified vision. 
  • Work closely with management to understand conference expectations and requirements. 

Concept Development & Planning 

  • Generate ideas for employee conference themes, swag, catering, etc. tailored to each event's purpose and audience. 
  • Communicate all ideas and operational details to management for approval on an ongoing basis. 
Qualifications
  • 1-3 years of experience in event planning or conference coordination.

  • Proficiency in Microsoft Office (Excel, PowerPoint, and Word) including complex tracking, formulas, and organization tools in Excel.

  • Experience with event planning software (i.e. Asana) preferred. 
  • Strong organizational skills with the ability to track multiple moving parts, follow detailed processes, and stay focused under pressure. 

  • Ability to manage multiple projects simultaneously with minimal oversight, balancing long-term planning with real-time responsiveness. 

  • Excellent verbal and written communication skills. Strong ability to communicate clearly, professionally, and concisely.  

  • Ability to support team members effectively and work collaboratively with coworkers and vendors.  

  • Willingness to travel at minimum 2 weeks per month during the peak conference season. 

  • Comfortable working outside standard hours, especially during conference events.
