Position Summary
The Part-Time Office Services Assistant provides administrative facilities, and meeting support to help maintain an efficient, organized, and professional corporate office environment. This role is responsible for light janitorial duties, office support, mail and shipping services, meeting and event setup, and assisting staff with a variety of operational tasks. The ideal candidate is dependable, service-oriented, and enjoys contributing to a positive workplace experience.
Essential Duties and Responsibilities
Office & Administrative Support
  • Pick up mail for internal distribution.
  • Prepare outgoing mail and packages for FedEx or other shipping carriers.
  • Assist with filing, copying, scanning, organizing documents, and other general office tasks.
  • Monitor and restock office, kitchen, and meeting room supplies.
  • Support employees with miscellaneous administrative and operational items as needed.

Facilities & Office Maintenance
  • Perform light janitorial duties, including:
    • Sweeping and mopping floors.
    • Vacuuming offices.
    • Emptying trash and recycling receptacles.
    • Cleaning interior windows, glass doors, and other surfaces.
    • Wiping down conference rooms, break rooms, kitchen areas, and common spaces.
  • Help maintain a clean, organized, and professional appearance throughout the office.
  • Follow all safety procedures, including the proper use, handling, and storage of cleaning products and personal protective equipment (PPE).
  • Report maintenance or safety concerns to the appropriate personnel.

Meeting & Hospitality Support
  • Set up and tear down conference rooms for Board of Directors & General Manager meetings, executive meetings, and other company events.
  • Arrange tables and chairs and restock refreshments as needed.
  • Assist with delivery, setup, and serving lunches and refreshments for meetings and large groups of guests.
  • Provide guest hospitality and ensure meeting spaces are clean and ready before and after events.
  • Maintain strict confidentiality and exercise discretion at all times. This includes conversations overheard and documents or materials observed while supporting Board of Directors, executive, and other confidential meetings. Confidential information must not be discussed, photographed, removed, or shared outside of authorized personnel.

Qualifications
  • High school diploma or equivalent preferred.
  • Previous experience in office support, administrative services, hospitality, facilities, or janitorial work is preferred.
  • Valid driver's license and reliable transportation preferred.
  • Basic computer proficiency, including Microsoft Office applications.
  • Strong organizational skills with attention to detail.
