What You'll Do:

The Maintenance Office Assistant Manager supports the day-to-day operations of the maintenance department by coordinating work orders, assisting with staff scheduling, and ensuring efficient communication between maintenance, resort departments, vendors, guests and homeowners. This role maintains organized records, tracks preventive maintenance activities, and helps manage departmental workflows to ensure timely completion of repairs and projects. The position provides administrative and operational support to the Maintenance Director and Managers, assists in overseeing office processes, and serves as a key point of contact in the manager's absence. They ensure that maintenance services are delivered promptly, professionally, and in alignment with resort standards for safety, quality, and guest satisfaction. Housing may be available on a first-come, first-served basis based on position. Reports to the Director of Maintenance. Required to work on site. Variable schedule and may require weekends and holidays.

Position starts at $60,000-$65,000 annually DOE

Duties/Responsibilities:

  • Manage incoming work orders: prioritize, assign to appropriate technicians, and track job progress through completion.
  • Maintain organized digital and physical records, including work orders, equipment logs, vendor invoices, regulatory inspections and maintenance schedules.
  • Assist with creating and maintaining standard operating procedures (SOPs) for the maintenance department.
  • Oversee office supplies and inventory needed for maintenance operations. - Support the Maintenance Director/Manager with staff scheduling, timekeeping, time off requests, unit inspections and coverage planning.
  • Respond to internal, guest and homeowner maintenance inquiries and escalations professionally and promptly.
  • Communicate maintenance timelines and updates to front desk, housekeeping, and other resort departments.
  • Track preventive maintenance schedules for units, common areas, and equipment; ensure timely completion.
  • Help source vendors, obtain quotes, and coordinate service appointments.
  • Assist with monitoring departmental expenses and staying within budget guidelines. - Run and maintain maintenance related reports (work order aging, PM completion rates, labor distribution).
  • Complete end of month duties, such as work order reconciliation and inventory counts.
  • Act as the second point of contact in the manager's absence, ensuring continuity of operations.

  • High school diploma or GED – required
  • 1+ years administrative or maintenance office experience or equivalent experience - preferred
  • Experience with maintenance work order systems - preferred
  • Familiarity with Microsoft Office suite - preferred
  • Proficiency in written and spoken English - required - Bilingual Spanish a plus
