Job Description:

The Executive Assistant will provide proactive administrative support to executive leadership, managing complex schedules, coordinating travel, preparing presentations, and assisting with high-priority business initiatives. The ideal candidate is adaptable, highly organized, and thrives in an environment where priorities can shift quickly while maintaining professionalism and confidentiality.

Key Responsibilities:

  • Manage complex calendars for executive leaders, balancing changing priorities and scheduling demands.
  • Coordinate domestic and international travel, including flights, hotels, transportation, and detailed itineraries.
  • Prepare professional PowerPoint presentations and executive meeting materials using business data.
  • Organize executive meetings by securing conference rooms, coordinating catering, and preparing materials.
  • Assist with expense reporting and travel reimbursements using Concur.
  • Support executive projects by tracking deadlines, organizing documentation, and coordinating communication across teams.
  • Help facilitate leadership meetings, quarterly business reviews, and other company events.
  • Maintain confidential records and handle sensitive business information with discretion.
  • Partner with internal departments and external vendors to ensure smooth day-to-day executive operations.
  • Provide additional administrative support and special projects as assigned.

Qualifications:

  • 5+ years of experience supporting C-suite executives or senior leadership.
