Job description

We are looking for a Facilities Assistant to support a well-organized, safe, and efficient workplace in Omaha, Nebraska. This Contract position plays an important role in day-to-day office operations by helping maintain shared spaces, coordinating service needs, and ensuring employees have a functional environment to work in. The ideal candidate brings strong attention to detail, a service-focused mindset, and the ability to handle hands-on facility support in a detail-focused setting.


Responsibilities:

• Manage office, kitchen, and workplace supply levels by organizing materials and replenishing inventory as needed.

• Prepare conference rooms, meeting areas, and event spaces to ensure they are ready for daily business use and special gatherings.

• Assist with employee onboarding and office moves by coordinating seating arrangements, access needs, and workspace readiness.

• Conduct routine walkthroughs to identify maintenance concerns, safety risks, or space issues and communicate findings promptly.

• Perform light repairs, furniture adjustments, and other basic facility tasks to help keep the office in good working order.

• Respond to internal facility requests and work with building service providers such as janitorial, electrical, or plumbing teams to resolve issues.

• Monitor on-site vendor and contractor activity to ensure work is completed appropriately and in accordance with workplace expectations.

• Review completed service documentation and work orders for accuracy before internal follow-up.

• Support workplace safety efforts by helping maintain emergency supplies, first aid materials, and ergonomic accommodations as needed.

• Contribute to additional facilities-related assignments and special projects based on business needs.

• High school diploma or equivalent is required.
• At least 5 years of experience in facilities support, office operations, or a related function.
• Ability to use basic hand tools safely for minor repair and maintenance tasks.
• Strong organizational skills with the ability to manage multiple requests and priorities effectively.
• Clear verbal and written communication skills for working with employees, vendors, and building contacts.
• Proficiency with Microsoft Office or Microsoft 365 and familiarity with workplace support systems.
• Experience with CMMS or computerized maintenance management systems is preferred.
• Ability to walk, stand, bend, and lift up to 25 pounds regularly and up to 50 pounds occasionally.
