Concierge / Administrative Assistant

About This Role

As a Concierge / Administrative Assistant, you are often the first point of contact for residents, visitors, team members, and prospective residents. This role helps create a welcoming, organized, and responsive experience by providing exceptional customer service and administrative support to residents, executive leadership, and the broader community. Success in this role means building trusted relationships, managing multiple priorities with professionalism, and ensuring daily operations run smoothly and efficiently.

What You'll Do
  • Serve as a welcoming and professional resource for residents, visitors, vendors, and team members. 
  • Provide administrative support to executive leadership and administrative departments through correspondence, reports, mail processing, and document preparation. 
  • Answer and direct phone calls, respond to inquiries, and connect residents and guests with the appropriate departments and services. 
  • Coordinate incoming and outgoing mail, package distribution, shipping services, and related resident communications. 
  • Maintain resident databases, directories, records, and community communication platforms, ensuring information is accurate and up to date.
  • Support community initiatives, events, publications, and administrative projects as assigned. 
  • Assist with emergency preparedness activities, including maintaining documentation and supporting hurricane preparedness processes.
  • Learn and utilize community software programs and technology tools to support resident services and operational excellence.
Skills You NeedMust-Have Skills
  • High school diploma or equivalent.
  • Three or more years of experience in an administrative, receptionist, concierge, or customer service role.
  • Strong organizational skills with exceptional attention to detail.
  • Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.
  • Excellent verbal and written communication skills.
  • Ability to manage competing priorities while maintaining a positive and professional demeanor.
  • Strong interpersonal skills and a commitment to delivering exceptional customer service.
  • Ability to maintain confidentiality and exercise sound judgment.
Nice-to-Have Skills
  • Experience working in senior living, hospitality, healthcare, or luxury residential communities.
  • Notary Public certification or willingness to obtain certification.
  • Experience working with resident management systems or community platforms.
