Job description

RESPONSIBILITIES: The Part Time Administrative Assistant provides administrative and technical support to the Advancement Team who work to advance Culver's mission by ensuring funding for the school. Responsibilities include administrative, database, event and research support.  This position offers a flexible schedule and will work approximately 20 hours per week.
 

Administrative Support:

  • Greet constituents (in-person and by phone or email) and fulfill their request for information and support;
  • Collect and process incoming and outgoing mail, make interdepartmental deliveries as needed;
  • Completes other tasks as needed by the Chief Advancement Officer or Director of Advancement Operations.

 

Database Support:

  • Assist in completing requests through the ticketing system for database requests;
  • Update database as needed (including, but not limited to name, address, and other bio changes, relationships, prospect management);
  • Assist in conducting wealth analysis;
  • Assist in researching new contacts made by fundraisers, and prepare bios as needed for upcoming travel and events;

Event and Other Support

  • Run and edit/clean lists for events or mailings;
  • Assist in collecting research and giving information for potential event attendees;
  • Track RSVPs and assist with follow-up calls for Advancement hosted events;
  • Work registration or other events hosted by the Advancement team.

Research Support:

  • Assist in locating lost individuals and provide obituaries or verification of death when requested.
  • Assist in bio preparation when needed.
  • Assist in research assignments (reunion classes, individual requests, hall of fame, board prospects, etc.).
  • Assist in scanning top prospect paper files into RE when needed.
  • Assist in maintaining the integrity of the alumni database in all areas directly relating to Development to include awards, contributions, directorships, actions, proposals, relationships, etc.
  • Assist in updating solicitor information in proposals and relationships.
  • Assist in pulling lists for Advancement Officers.
  • Assist in entering contact reports into RE when requested.
  • Assist in performing searches for biographical and business information through various sources, identify crucial information, and work independently as well as collaboratively with colleagues, faculty, administrators, and other campus employees.
 
REQUIREMENTS: 
  • Must possess a high school diploma and three years of relevant work experience. 
  • Must have highly developed interpersonal skills, can meet people with ease, communicate the written and spoken word with tact and diplomacy, and work effectively within every level of CEF.
  • The Administrative Assistant must have exceptional computer and data entry skills; must be able to organize data and produce reports, mailing lists, and a variety of related data efficiently.
  • Is a self-starter, possesses excellent organizational skills, is well-disciplined, and can work under pressure of many priorities and deadlines. 
  • Must be discreet and able to maintain confidentiality as this position has access to highly confidential information.Â
