Job description

I. Job Summary

Under the direction of the Patient Financial Services Director, the PBX operator operates the switchboard, beeping & paging systems. Coordinates communications between employees, physicians, patients and the community.

The PBX Operator must have the ability to handle multiple tasks on a variety of equipment in often stressful situations. Must have the ability to maintain perspective and composure during these stressful situations.

II. Duties And Responsibilities
  1. Answers incoming, outgoing and in-house signals, directing or transferring appropriately, while giving general information.
  2. Pages and beeps as requested with appropriate documentation and logging.
  3. Calls ALL codes which include: Code Blues, Trauma Codes, Mass Disasters, Fire Codes, paging and beeping "On Call" personnel by utilizing call schedules or designated employees/physicians.
  4. Logs long distance calls placed from in-house extensions.
  5. Maintains patient listing, making corrections/updates as necessary.
  6. Completes work orders by assigning numbers & logging.
  7. Maintains, updates/corrects physician's monthly call lists
  8. Accomplishes special projects as directed by the PFS Director
  9. Reports equipment failure, telephones and beepers with proper documentation.
  10. Orders supplies and restocks on scheduled order days.
  11. Key Control - Logged in/out per personnel receiving and/or returning keys.
  12. Reports to maintenance any/all alarms.
  13. Cross trained to complete miscellaneous paperwork as required per Patient Financial Services
  14. Employee will be required to be readily available to work during any weather related incidents or other natural disasters and/or any emergency situations that may arise

Must be able to:

  • Train new employees as needed.
  • Train current employees on new tasks.
III. Education

A High School diploma or equivalent is required.

IV. Qualifications And Experience

One year experience working PBX or similar communication system is required.

V. Physical DemandsMust be able to do the following on a constant, ongoing basis:
  • Hear and understand both face-to-face and telephone conversations.
  • See sufficiently to complete forms, read instructions, see numbers and lights on the
    communications equipment and maintenance alarms.
  • Converse appropriately with individuals both inside and outside of the hospital.
  • Give and receive simple and complex instructions.
  • Read and understand written language
  • Concentrate on, and remember varied job duties.
  • Prioritize work of position.
  • Solve problems ranging from simple to complex.
  • Use both hands for operating PBX, Beeping and Paging systems.
  • Grasp pen or pencil for long periods of time for writing and/or recording.

Must be able to:

  • Carry less than 10 lbs. on a regular basis and up to 25 lbs. occasionally
  • Work requires sitting for long periods of time to complete paperwork, converse on the telephone system, beep and/or page.
VI. Effect Of Error

Probable errors usually would not be serious in nature; however, errors made in calling Emergency Codes could be serious due to loss of responding time. Works with confidential data, which if disclosed, might have internal and/or external effects.

VII. Working Conditions

Work performed in a well lighted, heated and cooled office environment with a high level of activity. Due to physical layout of department there is minimal exposure to contagious diseases.
