Job Summary

This Senior Administrative Specialist (also referred to as Public Relations Assistant) will provide integral support to Duke Energy's Government & Community Relations department for the state of North Carolina (NC GCR). The NC GCR TEAM is responsible for local government and community relations engagement and consists of 14 community relations managers (district managers) and 4 public relations assistants, all who support and manage relationships in 83 of the 100 counties served in North Carolina. Department work includes building critical community and key leader relationships, strategically resolving and managing issues impacting the company, providing strategic philanthropic support and board service engagement. The public relations assistant will support the district managers and vice presidents of the NC GCR in this work.

The ideal candidate for this role would have a solid administrative background. This person will support the Raleigh district manager, and others as assigned and will serve in a non-exempt capacity. Travel to surrounding areas is to be expected.

Responsibilities

  • Prepares correspondence, reports, presentations, agendas, minutes, etc. using software applications (e.g. Word, PowerPoint, Excel)

  • Prepares and updates functional reports or records requiring compilation of information from multiple sources.

  • Receives, screens and directs incoming calls, visitors, mail and e-mail.

  • Maintains files and calendars.

  • Arranges business travel, coordinating meeting arrangements, and tracking expenses.

  • Supports regional volunteer coordination

  • Assists with social media monitoring

  • Supports NC storm/emergency preparedness plan pre/during/post event

  • Manages foundation grant inquiries and processing

  • Processes invoices

  • Monitors and manages all emails and calls into the NC Environmental Justice account

  • Assists with time entry for the North Carolina State President’s organization

  • Ensures accuracy of community relations managers’ key contact lists accurate (i.e. storm contacts, elected officials, etc.)

  • Updates individual budget reports for community relations managers

Basic/Required Qualifications

  • High School Diploma/GED

  • In addition to high school diploma, eight (8) years minimum of related work experience

Desired Qualifications

  • Prior strong administrative or secretarial experience

  • Strong computer skills

  • Demonstrated knowledge and experience with Microsoft Office suite applications, including Excel and PowerPoint.

  • Demonstrated ability to multi-task and prioritize assignments.

  • Demonstrated ability to communicate (both written and oral) in a clear, concise and effective manner.

  • Demonstrated ability to be detail-oriented, ensuring tasks are done with accuracy.

  • Ability to effectively interface with multiple across a department, e.g. managers, supervisors, employees

  • Experience working in a fast-paced, demanding environment with changing conditions.

Working Conditions

  • Performs work in normal office environment

  • May be required to provide assistance in multiple areas as needed.

  • Position may be located at a regional office or operations center, etc.

  • Prolong sitting at desk/computer.

  • May be required to travel for training and/or assistance at other sites and may be required to work overtime.

  • Hybrid mobility classification - work will be performed from both remote and onsite locations after the onboarding period. However, hybrid employees should live within a reasonable commute to Raleigh office.
