Job Description

Primary Purpose: Under moderate supervision, respond to inquiries from staff, students, parents, and the public; provide requested information and/or referral to the appropriate parties; direct visitors; and provide general clerical support for the efficient operation of the central administration office.

Education/Certification / Qualifications
  • High school diploma or GED
  • 3 years of clerical experience in an office setting
  • School experience preferred
  • Bilingual preferred
Special Knowledge / Skills
  • Ability to operate multi-line phone system
  • Effective public relations, organization, communication, and interpersonal skills
  • Ability to speak, read, and understand English
  • Ability to read and comprehend instructions
  • Ability to effectively present information in one‑on‑one situations
  • Proficient in keyboarding, 10‑key numerical data entry, and file maintenance
  • Bilingual preferred
Pay Scale & Salary
  • Pay Scale: AIS 4, salary based on experience

Major Responsibilities and Duties Reception and Phones
  • Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
  • Greet visitors (public, parents, students, substitutes, vendors, etc.) and respond to their inquiries or direct them to appropriate personnel according to district policies and building security procedures.
  • Maintain visitor log.
  • Assist in disseminating timely and accurate information during emergency situations, following district safety protocols and emergency procedures.
  • Receive deliveries and disseminate materials and information to the appropriate parties.
Records, Reports, and Correspondence
  • Prepare correspondence, forms, reports, manuals, and presentations for the District of Communications and other department staff members.
  • Compile, maintain, and file all reports, records, and other documents as required.
  • Perform routine bookkeeping tasks and maintain department budget records.
  • Prepare and process department purchase orders and payment authorizations.
  • Order and maintain inventory of office supplies and program equipment.
  • Manage the Open Records/Public Information Act inbox and process requests to ensure departmental compliance.
  • Help maintain and coordinate the comprehensive school district calendar and Director's professional schedule.
Communications / Administrative Support / Education Foundation
  • Assist Director of Communications with tasks involving district communications, administrative support, and Education Foundation.
  • Attend all Education Foundation meetings, including those held outside of standard business hours.
  • Assist in coordinating and executing district events, including end‑of‑year celebrations, convocation, and other community programs.
  • Assist with content creation and distribution for social media, websites, emails, and other communication platforms.
Other
  • Provide clerical assistance as needed.
  • Compile, maintain, and file all reports, records, and other documents as required.
  • Maintain confidentiality.
