The Family Services Administrative Assistant provides administrative, organizational, and operational support to the Family Services Department at the Boys & Girls Club of Truckee Meadows. This position is responsible for supporting the daily oversight, upkeep, and supervision of our Bright Futures Wellness Center, assisting with grant management and documentation, and coordinating counseling and nursing scheduling. This position plays a vital role in supporting administrative functions across all Family Services programs including case management, behavior services, the Strengthening Families Program, and outreach efforts including holiday and other community engagement events. This role works directly with a diverse, multilingual community. Bilingual proficiency in English and Spanish is highly preferred, and strong administrative computer skills are required to effectively communicate and collaborate with the families, members, and staff we serve.

These are some of the additional responsibilities of the Family Services Administrative Assistant:
  • Prepare, collect, organize, and maintain counseling intake paperwork and related documentation in accordance with program procedures and confidentiality standards.
  • Assist with grant management activities including data entry, tracking participation, maintaining records, preparing documentation, and supporting reporting requirements.
  • Serve as an administrative point of contact for families, staff, providers, and community partners connected to the Family Services Department.
  • Assist with organizing and implementing family engagement activities and community outreach events.
  • Develop and maintain positive, collaborative relationships with families, staff, community partners, and local social agencies.

Schedule:
  • This position will be Monday - Friday, 9am - 6pm, at our Bright Futures Wellness Center on Foster Drive in Reno.

Required Education & Experience:
  • High School Diploma or GED required, Associate's degree preferred.
  • Relevant course work or work experience in social services, human development, business administration, or a related field is desirable.

Skills & Abilities that make a successful Family Services Administrative Assistant:
  • Bilingual in English and Spanish strongly preferred.
  • Strong administrative computer skills and proficiency in Microsoft Office Suite or similar software required.
  • Strong written and verbal communication skills, with the ability to engage effectively with a diverse population and professionally represent BGCTM in the community.
  • Excellent organizational skills and strong attention to detail.
  • Ability to compile and analyze data and provide timely reports.
  • Strong interpersonal skills, with the ability to handle sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Ability to work effectively in a fast-paced, high-pressure environment while maintaining professionalism.
  • Reliable and punctual, with a strong commitment to assigned tasks and responsibilities.

Physical Requirements & Work Environment:
  • Must be able to perform duties that require walking, talking, hearing, standing, sitting, and/or bending for long periods of time. May occasionally be required to kneel, run, and/or climb.
  • Must be able to use hands and arms to enter data into the computer, use the telephone, and other office equipment.
  • Must be able to perform surface and deep cleaning appropriately using potentially hazardous cleaners, including bleach, as needed.
  • Must be able to lift, move, manipulate, and or hold objects up to 45 pounds. Objects that exceed the 45-pound weight limit require additional assistance when moving, lifting, or manipulating.
