The Community Engagement Coordinator works closely with the Manager & Supervisor of Community Engagement by contributing to further the mission of Straz Center and the Patel Conservatory by supporting efforts and initiatives that build community awareness of the arts and increases opportunities that provide unique and diverse experiences for the Tampa Bay community.

This position serves as an in-house coordinator for the Community Engagement staff and supports through administrative duties, data tracking, and coordination of outreach programs and services, including but not limited to: Community Engagement initiatives, Community Partnership Program, Opera in Schools, and Day at the Straz.

Located in downtown Tampa, the Straz offers a team-based work environment and a full package of benefits for full-time staff including options for health/dental, vision, etc., plus a generous 403(b) plan.

Primary Duties and Responsibilities:

Community Relations:

  • Schedules community-based programs, partnerships, and other engagement initiatives that relate to the mission of Straz Center and the Patel Conservatory
  • Helps coordinate speakers and schedules for the Great American Teach-In and other off-site or one-off teaching/speaker requests.
  • May provide education representation, as needed, such as tabling local events.

Administrative:

  • Functions as department point of contact for incoming inquiries community businesses, agencies, organizations, groups and schools.
  • Coordinates department calendars, meetings and administrative support for the Manager and Supervisor of Community Engagement.
  • Maintains Community Engagement Department content on SharePoint platform
  • Assists with financial administration, including Works transactions, expense reports, purchase card reconciliation, honorariums, and check requests.
  • Oversees purchasing of production supplies or costumes as needed by partner organizations.
  • Assists with reporting, reserving and coordinating the distribution of tickets for Community Outreach and Military Nights ticket program.
  • Maintains current database of community partners with their contact information and/or related information.
  • Acts as liaison for the Development department by managing the input and reporting of all statistical data as well as assessment and evaluation for all arts education programs.
  • Assists with coordination of production meeting schedules to ensure accuracy and accountability.

Field Trips:

  • Oversees booking and scheduling of Day at Straz Field Trip inquiries.
  • Oversees reservations for all Patel Conservatory and Opera Tampa Invited dress rehearsals or student invited performances.

Supervisory Responsibilities:

  • This position may supervise volunteers and intern(s).

Minimum Qualifications:

  • Excellent interpersonal skills required to effectively represent the Conservatory's priorities, agenda, policies, and positions to third parties.
  • Outstanding organizational and time management skills. Must be able to adapt to changing priorities, be proactive and take initiative
  • Exceptional attention to detail while maintaining the ability to meet all established deadlines.
  • Exceptional oral and written communications skills are a must.
  • Proficiency with Microsoft Office software including Power Point and other relevant applications.
  • Ability to effectively prioritize tasks and assignments.
  • Availability to work a flexible schedule which may include nights and weekends
  • Must be able to pass a Level 2 background screening.

Education and Work Experience:

  • Bachelor's degree in communications, Arts Administration, Marketing, or related field required.
  • Experience with community relations and building community networks and partnerships.
  • 1 years of experience in program coordination or in a similar position with related responsibilities preferred.
