Job description

Job Summary: Under the direction of the Director, Planning & Administration, the Communications, Community Engagement & Volunteer Coordinator is responsible for coordinating agency communications, community engagement activities, volunteer engagement efforts, and internship program administration. This position develops and implements communication strategies that strengthen awareness of agency programs and services, support fundraising and community engagement efforts, and promote a positive organizational image. The position serves as the primary coordinator for volunteer recruitment, engagement, orientation, and recognition activities and works collaboratively with program staff to support volunteer involvement across the agency. The position also coordinates internship partnerships and student engagement opportunities that support agency programs and workforce development goals. The Communications, Community Engagement & Volunteer Coordinator collaborates closely with agency leadership, outreach staff, program teams, and community partners to advance organizational priorities and strengthen relationships with stakeholders.

Scope of Supervision: This position does not directly supervise staff. Works under the direction of the Director, Planning & Administration with support from the Project Manager, Agency Initiatives.

Essential Functions:

Communications & Brand Management

  • Coordinate implementation of agency communications strategies and initiatives.

  • Maintain brand consistency across agency communications, publications, and marketing materials.

  • Develop and distribute internal and external communications that promote agency programs, services, events, and initiatives.

  • Create, edit, and coordinate content for newsletters, websites, social media platforms, email campaigns, and other communication channels.

  • Develop success stories, impact stories, program highlights, and stakeholder communications.

  • Assist with development of annual reports, agency publications, and promotional materials.

  • Coordinate internal communications that promote employee engagement, organizational culture, and staff awareness of agency initiatives.

  • Monitor communication effectiveness and recommend improvements to engagement strategies.

  • Support leadership communications and agency-wide announcements.

Community Engagement & Outreach

  • Coordinate community engagement activities that increase awareness of agency programs and services.

  • Develop and maintain relationships with community organizations, educational institutions, businesses, and community stakeholders.

  • Coordinate agency participation in community events, resource fairs, outreach activities, and public engagement opportunities.

  • Support outreach staff in implementing community engagement initiatives.

  • Identify opportunities to strengthen community partnerships and collaborative relationships.

  • Represent the agency at community meetings, events, and networking opportunities as assigned.

Volunteer Program Coordination

  • Coordinate agency-wide volunteer recruitment efforts.

  • Develop and implement volunteer engagement, retention, and recognition activities.

  • Conduct volunteer orientation and onboarding activities.

  • Serve as a resource for volunteers and agency staff regarding volunteer engagement practices.

  • Coordinate volunteer communications and volunteer appreciation activities.

  • Collaborate with program supervisors to identify volunteer needs and opportunities.

  • Assist in resolving volunteer concerns and support positive volunteer experiences.

  • Develop and maintain partnerships that support volunteer recruitment and engagement.

Internship Program Coordination

  • Develop and maintain relationships with colleges, universities, and educational partners.

  • Coordinate internship recruitment and placement activities.

  • Conduct internship orientations and provide ongoing communication with interns.

  • Serve as a liaison between educational institutions and agency staff.

  • Support internship program evaluation and continuous improvement efforts.

  • Assist supervisors in coordinating successful internship experiences.

Employee Engagement & Recognition

  • Coordinate employee recognition, appreciation, and engagement activities that support a positive workplace culture.

  • Assist with planning and implementation of employee engagement events, campaigns, and communication initiatives.

  • Support employee feedback and engagement efforts through communication, promotion, and participation activities.

  • Collaborate with leadership to implement employee engagement initiatives and recognition programs.

Fundraising & Stakeholder Communications

  • Develop communication materials that support fundraising campaigns and donor engagement efforts.

  • Assist with creation of donor impact stories, campaign materials, sponsorship materials, and stewardship communications.

  • Support agency events through development of promotional and communication materials.

  • Collaborate with leadership and development staff to support fundraising and community engagement goals.

Organizational Support

  • Participate in strategic planning and organizational effectiveness initiatives as assigned.

  • Assist with data collection and reporting related to communications, volunteer engagement, and community outreach activities.

  • Maintain accurate records and documentation related to assigned responsibilities.

  • Participate in staff meetings, trainings, and agency initiatives.

  • Perform other duties as assigned.

Safety: Responsible for conducting all duties in a safe manner and supporting agency safety practices.

Qualifications:

Education and Experience:

  • Bachelor's degree in Communications, Public Relations, Marketing, Community Engagement, Nonprofit Management, Human Services, or a related field preferred.

  • Minimum of three years of experience in communications, community engagement, volunteer management, public relations, nonprofit administration, or a related field.

  • Experience working with volunteers, community partners, and diverse stakeholders preferred.

  • Equivalent combinations of education and experience may be considered.

Abilities and Skills: In order to be successful in this position, the person will at minimum need to possess the following abilities and skills:

  • Knowledge of communications, public relations, and community engagement principles.

  • Knowledge of volunteer engagement and retention practices.

  • Strong written and verbal communication skills.

  • Excellent interpersonal and relationship-building abilities.

  • Ability to coordinate multiple projects and priorities simultaneously.

  • Strong organizational and planning skills.

  • Ability to work independently and collaboratively.

  • Proficiency with Microsoft Office, Google Workspace, social media platforms, website content management systems, and communication tools.

  • Ability to represent the agency professionally with internal and external stakeholders.

  • Ability to maintain confidentiality and exercise sound judgment.

  • To ensure compliance with program requirements, and safety of staff and clients, the ability to communicate effectively in English, both verbally and in writing is required.

Physical Requirements: Normal office physical exertion required.

Mental Requirements: This position requires the ability to manage multiple priorities, communicate effectively with diverse audiences, exercise sound judgment, and work independently while maintaining strong attention to detail.

Environmental Requirements: Normal office environment with occasional movement throughout agency facilities and community locations.

Hiring Range: $50,990.55 - $64,114.97 Annually

Locations: Syndicate Headquarters Suite 350 - 450 Syndicate St. N. Saint Paul, MN 55104

Schedule: 40 Hours/Week, Full Time, Full Year, Exempt

Monday - Friday 8:00am-4:30pm

Hybrid Capability: This position has 0% -20% hybrid capability with supervisor approval.
