Scheduler / Unit Clerk / Receptionist -  This is a dual role position and requires an active CNA certification as the role requires the ability to fill in as a CNA as the center needs dictate.

Job Summary

Responsible for staffing CNAs and/or nursing staff. Assists the DON in staffing appropriately licensed/certified employees through preparation and maintenance of daily and monthly schedules. Identifies staffing needs based on PPDs and staffing budget and works with employees to coordinate scheduling needs. This position will also include Medical Records and Central Supply duties.

Job Qualifications

Work Environment/Physical Requirements The responsibilities of this position involve significant physical activities including standing, lifting (up to 50 pounds unassisted), bending, stooping, pushing, pulling and twisting. All employees of nursing homes may be required to provide lifting and transfer assistance to residents. Lifting and/or transferring some residents will require use of a lifting device and /or assistance of other staff.

Required Education and Experience

  • High School diploma (or equivalent)
  • Flexible availability
  • Prior experience in scheduling
  • Computer proficiency with Microsoft products

Preferred Education and Experience

  • Accounting proficiency helpful
  • Long term care experience
  • Experience in a fast-paced environment
  • Post-acute care or health care experience preferred

Skills, Knowledge and Abilities: Must have business acumen and intellectual prowess. Must have business/financial and/or engineering acumen. Ability to organize, plan and work autonomously. Ability to read, write, speak and understand English. Ability to relate positively, effectively, and appropriately with residents, families, community members, volunteers and other center staff. Possess special interest in, and a positive attitude about, working with long-term care residents and the elderly. Meets all health requirements, as required by law. Computer literacy, especially with Microsoft Office products, preferred.

Essential Functions
  • Assists in identifying open positions for optimum staffing levels based on census/PPD
  • Maintains current phone/contact information for nursing department employees
  • Review previous, current and future staffing patterns with ED and DON
    • Reviews staffing requirements/hiring needs
  • Develops, implements and coordinates daily scheduling and assignments consistent with PPD
  • Complies with laws and regulations applicable to position and act in accordance with Center's Compliance Program
  • Attends and participates in in-service training, performance improvement ("PI") committees and other meetings as scheduled and directed
  • Safety
    • Knows and follows center rules
    • Follows center dress and hygiene policies
    • Demonstrates proper use of equipment. Reports equipment needs or repairs
    • Follows center smoking policies
    • Reports and documents any incidents or accidents of residents, staff or visitors to the appropriate center personnel
    • Reports all hazardous conditions/equipment to Supervisor
    • Performs duties, which may include transportation of residents, as assigned in Center Disaster Plan
    • Uses required protective equipment
    • Follows infection control standards, policies and procedures
  • Resident Rights
    • Knows Resident Rights. Helps the residents/patients exercise and/or protect their rights
    • Reports resident/patient complaints to management
    • Maintains confidentiality of resident/patient information
  • HIPAA
    • Follows and adheres to Center's policies and procedures implementing HIPAA requirements for the privacy and security of protected health information
    • Uses and/or discloses only minimum amount of Protected Health Information necessary to complete assigned tasks
    • Reports all suspected violation of company's HIPAA policies or procedures to Center Privacy Designee
