Job Overview:
Assist and support the property manager, the larger management team, the board, and community residents for the assigned property.  Ensure property is maintained and operated in accordance with company objectives and facilitate solutions to operational challenges, guided by precedent and working within the limits of established policies.
 
Your Responsibilities:
  • Acquires and maintains current knowledge of state regulatory agency statutes and each client’s community’s documents, policies and procedures.
  • Performs annual property inspections.
  • Coordinates insurance requirements for properties and associated vendors.
  • Posts board meetings.
  • Schedule meetings with vendors and board.
  • Draft minutes production.
  • Upload association documents to website (connect and community website).
  • Handle all call center customer inquiries.
  • Handle all association account ledger inquires.
  • Order and reconcile P-card purchases.
  • Complete annual violation inspections and respond to reported concerns.
  • Handle all AP clearing items.
  • Record all daily POS transactions – provide to Data Entry.
  • Record any checks received and deposit to bank.
  • Handling any mailings to the Hollywood office.
  • Approve specific items in AVID.
  • Reconcile and pay taxes monthly.
  • Facilitate appeals from denied ARC project.
  • Assist with onboarding new associates (request email, connect access, POS access, name tags, business cards etc)
  • Set up all new vendors (obtain W9, COI, and submit through Zendesk).
  • Handle incident report submissions to agent.
  • Assist with correcting missed punches reported by the team.
  • Assists in preparation of monthly reports.
  • Assists in the development of operating and capital budgets.
  • Establishes and maintain industry contacts and relationships in the property's marketplace through involvement in trade organizations, property management and real estate associations and networking opportunities with vendor outreach and peer groups.
  • Creates the culture needed to enhance, promote and execute daily positive interaction among members of the management team.
  • Follows safety procedures and maintains a safe work environment.
  • Assumes all other duties and responsibilities as directed by Community Association Manager.
 
Skills & Qualifications:
  • Bachelor's degree (B.A. or B.S.) in Business or related field from a four-year college or university, or equivalent combination of education and experience.
  • CAM license required.
  • Must possess strong managerial background.
  • Two (2) years of experience as an on-site manager managing the property or building operations, such as staff and service contracts, tenant retention and tenant improvements is preferred.
  • Strong working knowledge of customer service principles and practices.
  • Ability to read, analyze, and interpret technical procedures, leases, regulations or documents with a similar degree of complexity.
  • Strong interpersonal skills.
  • Computer literacy: Proficiency and working knowledge of Microsoft Office Applications. Strong customer service and interpersonal skills required.
 
Physical Requirements:
  • Physical demands include ability to lift up to 50lbs.
  • Standing, sitting, walking and occasional climbing.
  • Required to work at a personal computer for extended periods of time.
  • Talking on the phone for extended periods of time.
  • Ability to detect auditory and/or visual emergency alarms.
  • On-call 24/7.
  • Ability to work extended/flexible hours and weekends based on project requirements.
  • Driving when necessary.
  • Ability to respond to emergencies in a timely manner.
Schedule: Monday - Friday, 9:00am – 6:00pm, flexibility as needed
 
What We Offer:
As a full-time exempt associate, you will be eligible for full comprehensive benefits to include your choice of multiple medical plans, dental, and Vision. In addition, you will be eligible for time off benefits, paid holidays, and a 401k with company match. Occasional travel may be required to attend training and other company functions.
 
Compensation: $60,000 - $65,000 annually
