Job description

Position Overview:

The Title Assistant provides direct administrative and production support to one or more Title Officers to ensure accurate, timely processing of title files. This role assists with research, document preparation, recording coordination, and issuance of select low-risk title insurance products. The Title Assistant plays an important role in maintaining file accuracy, supporting customer service needs, and ensuring compliance with company and underwriter guidelines in a deadline-driven environment.

Key Responsibilities:

  • Provide direct support to assigned Title Officers with daily title production activities. 
  • Conduct land and name searches using the company's title plant and public records. 
  • Utilize title production software to assist with file setup, research, and documentation. 
  • Produce and maintain low-risk title insurance products, including reports, guarantees, and junior loan policies. 
  • Review documents for accuracy and readiness prior to recording with the county courthouse. 
  • Prepare policy write-ups prior to issuance and assist with post-policy requests. 
  • Perform file updates and assist with delivery of completed documents.
  • Provide phone coverage for Title Officers and respond professionally to customer and internal inquiries. 
  • Communicate with customers and internal teams to obtain additional information as needed. 
  • Handle tasks and requests as assigned by Title Officers or the Title Team Leader. 
  • Maintain accurate, well-organized electronic files. 
  • Ensure compliance with company standards, underwriter guidelines, and established procedures.
  • Interact and communicate in a professional and effective manner with all levels of team members, leadership, customers, and external partners. 
  • Performs other functions as necessary or as assigned. 
Required Qualifications: 
  • High school diploma or general education degree (GED); or equivalent combination of education and experience. 
  • Prior experience in title, escrow, real estate, or a related administrative role preferred. 
  • Strong organizational skills with high attention to detail and accuracy. 
  • Ability to type 40 or more words per minute with a high degree of accuracy. 
  • Ability to read, analyze, and interpret documents and instructions. 
  • Strong verbal and written communication skills. 
  • Ability to manage multiple tasks and deadlines in a fast-paced environment. 
  • Proficiency with title production software and Microsoft Word, Excel, Outlook, and other Windows-based applications.
Preferred Qualifications: 
  • Experience supporting Title Officers or title production teams. 
  • Familiarity with recording processes and county requirements. 
  • Experience issuing low-risk title insurance products.
