We are seeking a dependable, organized, and detail-oriented HR Assistant to support the Human Resources department with onboarding, employee documentation, compliance tracking, recruiting support, benefits administration assistance, and general HR administrative duties.
Position Summary
The HR Assistant will provide administrative and compliance support to the Human Resources department. This role is ideal for someone who has basic California HR and employment compliance knowledge, strong communication skills, excellent phone etiquette, and the ability to handle confidential employee information with professionalism and discretion.
This is a full-time, non-exempt hourly position. The HR Assistant will work under the direction of Human Resources and will assist with assigned HR tasks, documentation, follow-up, and employee support. This role does not have managerial authority and is not responsible for making independent employment decisions.
Work Location and Schedule
This is a hybrid/remote California-based position. Candidates must currently reside in California and be available for virtual meetings, training, and occasional in-person meetings as required by business needs.
The position generally works during regular business hours. As a non-exempt hourly employee, the HR Assistant must accurately record all hours worked and comply with Company timekeeping, overtime, meal period, and rest break procedures. Off-the-clock work is not permitted.
Required and approved business expenses, including approved remote work-related expenses, will be reimbursed in accordance with Company policy and applicable California law.
Key Responsibilities
  • Assist with onboarding, new hire paperwork, employee files, and HR documentation.

  • Support completion and tracking of required employment forms, acknowledgments, compliance notices, and personnel records.

  • Assist with recruiting coordination, applicant communication, phone screening scheduling, and interview follow-up.

  • Provide professional phone and email support to employees, applicants, supervisors, and vendors.

  • Assist with maintaining employee records in HR systems, spreadsheets, shared files, and digital folders.

  • Support benefits administration by helping track eligibility, enrollment reminders, employee follow-up, and related documentation.

  • Assist with timekeeping, payroll-related documentation, status changes, and employee record updates as directed.

  • Help track compliance items such as licenses, certifications, background check documents, policy acknowledgments, and required HR forms.

  • Prepare basic reports, lists, reminders, and follow-up communications.

  • Assist with HR projects, audits, filing, data entry, and other administrative duties consistent with the scope of the HR Assistant role.

  • Maintain confidentiality of employee, applicant, payroll, benefits, medical, disciplinary, and Company information at all times.

Qualifications
  • Basic knowledge of California HR practices, employment documentation, and compliance requirements preferred.

  • Prior HR, administrative, recruiting, onboarding, payroll support, or office experience preferred.

  • Strong communication skills, both written and verbal.

  • Professional phone etiquette and ability to communicate clearly with employees, applicants, and management.

  • High attention to detail and strong organizational skills.

  • Ability to follow written procedures, checklists, deadlines, and instructions.

  • Comfortable working with HR systems, spreadsheets, shared drives, email, and Microsoft Office or Google Workspace.

Compensation and Benefits
The pay range for this position is $25.00 – $28.00 per hour, based on experience and qualifications.
This position is eligible for overtime pay in accordance with applicable federal and California wage and hour laws.
